JOB TITLE: Finance Assistant DEPARTMENT Finance
(Temporary, Part-Time) Department
REPORTS TO: Financial Controller SALARY: £10.97 per hour
PLACE OF WORK: Oak Tree Farm, Wetheral
- PURPOSE OF THE JOB
- To assist with the accurate administration of the finances of the Charity, as directed by the Finance Controller, in order to ensure that all moneys are correctly recorded in the records of the Charity and in particular -
- To process the daily accounts transactions for OTAC Trading Ltd as follows:
- Purchase Ledger:
- Check allocation and authorisation of supplier invoices, enter in Sage.
- Analyse credit card expenses.
- Reconcile supplier statements.
- Process supplier payments ready for authorisation
- Liaise with suppliers in the event of queries.
- Monitor finance email account.
- Credit Card Receipts (Trading)
- Collate receipts and reconcile to monthly statements.
- Post figures to Sage/Xero
- To check and reconcile Daily Bank Movements as follows
- Check bank statements daily and process through accounts software.
- Reconcile to daily Shop EPOS reports (CharitySuite)
- Reconcile bank account monthly
- Process employee expense claims
- To monitor and reconcile Balance sheet accounts monthly
- To attend any necessary meetings and liaise with the Shop Managers on financial matters from time to time and as required
- To support the Financial Controller during migration of accounting software from Sage to Xero
- OTHER COMMENSURATE DUTIES
- To provide cover for Reception during lunchtimes as requested
- To maintain all relevant databases, appropriate filing systems and data storage, ensuring accuracy, confidentiality and legal compliance is maintained in line with GDPR.
- Any other duties commensurate with the responsibility and remit of the role, including the provision of cover for colleagues during periods of role vacancy, holiday or sickness.
JOB DESCRIPTION
- To liaise closely with other departments to ensure good communication and positive and supportive relationships are maintained.
- Adhere to the Charity’s policies and procedures and the HR policies set out in the staff handbook relating to staff discipline, contracts, terms of employment, health and safety and equal opportunities.
- Promote at all times the work and good name of the Charity and in so doing endeavour to ensure that the public are aware of the support needed to maintain and expand the work in caring for all animals in need.
- HOURS OF WORK
- 24 hours per week – specific days to be discussed at interview.
- In order to meet the requirements of the post it may be necessary to work outside these hours from time to time to facilitate the smooth running of the charity. A degree of flexibility is expected from the post holder to meet these needs if required. No overtime will be paid for any extra hours worked however time off in lieu for the extra hours will be available as arranged and agreed with the manager.
- Please note this is a temporary contract for a period of 6 months, with potential for extension.
