PROJECT OVERVIEW
Govan Community Project is a community-based organisation working in south-west Glasgow. We provide a range of holistic support services for individuals and families in the asylum and refugee community including advice & advocacy, food support, social groups, English classes and a range of community based activities which support community members to build connections in their community.
To support our charitable activities, we currently operate a successful social enterprise business, Voiceover Glasgow which delivers community interpreting and translation services. Voiceover is a busy service which delivers interpreting and translation services to customers and has great potential for future development.
OVERALL PURPOSE OF THE JOB
The finance assistant will be responsible for the day to day book keeping for both the charities finances and the finances of our social enterprise, Voiceover Glasgow processing all low level day to day financial transactions.
The finance assistant will work to a set time schedule for all financial postings to enable our external accountant to produce monthly management accounts and end of year reporting.
The role will initially be office based.
MAIN DUTIES AND RESPONSIBILITIES
Book Keeping Operations
- Generating sales invoices
- Processing all purchase transactions
- Allocating payments received to sales invoices
- Processing grant income transactions
- Processing of petty cash transactions
- Allocation of income and expenditure to department and project codes for management accounting
- Monthly bank reconciliation
- Issuing payment reminders to customers
- Escalation of debt to Voiceover Manager
- Process bank payments for authorisation
Administrative Tasks
- Issuing monthly customer statements to Voiceover customers
- Issuing monthly statements to freelance interpreters
- Maintain a weekly spreadsheet of budget allocations
- Organise cash floats for projects as required
- Meet monthly with accountant and senior management re accounts reporting
Other Duties
- Work as part of the staff team to maintain and promote the values and ethos of Govan Community Project.
- Adhere to all organisational policies and procedures.
- Work with the staff team to contribute towards providing a safe, welcoming, clean and tidy environment for staff and visitors.
- Attend team meetings and contribute to strategic development.
- Perform any other tasks or duties deemed necessary.
PERSON SPECIFICATION
Essential Qualities
- Excellent customer service skills
- A working knowledge of Sage or an equivalent accountancy platform such as Quickbooks/Xero
- Confidence and ability to deal with telephone enquiries efficiently
- High level of competency with office applications such as Email, Word, Excel
- IT proficiency in learning/adapting to bespoke systems
- A commitment to the aims and objectives of the charity
- Prior experience of working in finance/book keeping role
- A flexible working approach and excellent time management skills
- Ability to work on own initiative and within a team
Desireable
- Knowledge of human rights, equalities and social justice issues
- Experience of working in the 3rd Sector
- Any relevant accountancy or book keeping qualificiations/training towards
