Job Title: File Opening Administrator
Reporting to: Head of New Business and Client Data Management
Supervisory Responsibility: None
Job Description
Key Purpose of Role
To support the business with the timely opening of new files
To provide ancillary support to all Teams within the Firm with File Openings when required and in relation to ad hoc Conflict Checks and electronic ID checks
Key Responsibilities
- Be responsible for the administration of new file opening
- Ensure that all information required for the case management system is fully and correctly entered
- Update the case management system when new information is received after the initial matter opening has been completed
- Carry out conflict checks
- Carry out electronic ID checks using our current systems
- Provide some additional support in relation to funding checks when required
- Carry out SRA identity checks on firms of solicitors acting for the other party
- Ensure full and correct client ID paperwork has been received
- Liaise with fee earners where necessary
- Deal with client enquiries
- Liaise with other third parties with regards to the details of transactions/ matters as appropriate
- Support the New Business and Client Data Management Team with the development of and implementation of new file opening processes and procedures
- To carry out any other duties appropriate to the nature of the post
- To undergo any training appropriate to the post as required
- To uphold the aims and principles of all of the firm’s policies
- To attend staff and departmental meetings as required

- Able to undertake a range of duties and to prioritise a varied workload with minimal supervision
- Attention to detail
- Confident and able to communicate effectively with both other staff and clients either face to face or on the telephone

This role is based at our Sale office

Person specification
- Some office experience required;
- Some legal sector experience preferred
- Good IT skills required
- Effective oral and written communication
- Efficient and well organised
- Ability to work under own initiative with minimal supervision
- Adherence to principles of the SRA Standards and Regulations (including specifically the requirement to maintain client confidentiality)
- Excellent client care skills
