About the Role:
The CogX Festival, now in its seventh year, is looking for a talented Festival Operations Assistant to join our Festival Operations Team.
Reporting to the Event Manager, the Festival Operations Assistant is responsible for supporting the team with the delivery of the 2023 CogX Festival and will need to be someone who thrives working in a busy and demanding environment. Strong attention to detail and proven event experience of dealing with internal and external stakeholders is required.
Key Responsibilities
Key Responsibilities:
- Support Festival Operations Director and Event Manager with various day-to-day tasks and long-term operational planning and delivery of CogX Festival 2023
- Attend internal and external meetings, following up on any action points on behalf of the Events Manager and Festival Operations Director
- Supporting with Festival build and derig efficiently through to completion
- Assisting with creative decisions
- Ensuring all branded items for events arrive on time
- Ensuring that our attendees have a safe and pleasant experience while attending our Festival
- Assist the Event Manager with communicating event operations information to all necessary staff
- Report safety hazards, event debrief notes and all concerns to the Festival Operations Director and Event Manager
- Distribute print materials and display signage specific to wayfinding for events
- To source and procure event related items
- Housekeeping of Google Drive, with overall responsibility for filing documents
- Booking crew, accommodation and flights for the Festival Team
- Liaising with venues and crew onsite
- Ability to order and manage staff catering
- Post event reconciliation, reporting and archiving of event collateral
- Attend to various other projects as assigned by the Event Manager and Festival Operations Director

Skills and Experience:
- Detail-oriented with strong organisational skills
- Ability to work under pressure and to tight deadlines
- Able to work independently as well as part of a team
- Understands the importance of working collaboratively with partners to deliver projects
- Being a self-starter, capable of working autonomously
- Common sense and initiative
- Eager to contribute new ideas
- Must have a friendly and professional attitude and work well with the public to navigate different personality types among stakeholders
- Strong interpersonal, verbal and written communication skills
- Willingness to be very hands-on and flexible to work on a variety of assigned tasks
- Flexibility to adapt to changing priorities and new opportunities
- Handles difficult and high-pressure situations with a calm and mature approach
- Some experience of providing a high standard of administrative support
- Open, inquisitive and friendly
- Basic understanding of AV / technical solutions
- Awareness of health and safety issues and risk assessments
- Ability to minute meetings and produce succinct and accurate contact reports
- Good working knowledge of and ability to update project documentation, including contact sheet and onsite schedule
- Previous experience of Google Drive

- Educated to degree level
