A unique career opportunity has arisen to become a key member of Complete Fertility Centre Southampton, (based at the Princess Anne Hospital).

Originally established in 2010, Complete Fertility is part of the Virtus Health Family of fertility clinics, and the first in the UK. We are a close-knit and supportive team of around 60 staff, with a focus on patient care, research and innovation. With close links to the University of Southampton, we regularly participate in exciting large scale multicentre clinical trials.

We are seeking a Fertility Nurse Administrator with excellent organisational skills to support the Nurse team with the day to day administration duties. The position is available immediately. This is a new post and is designed to assist the Nursing team with their administrative duties. You will be a key member of the nursing team and assist in creating a smooth journey for our patients.

Location: Complete Fertility, Princess Anne Hospital, Coxford Road, Southampton

Relocating to Chandler's Ford in Summer of 2023

Accountable to: Admin Manager

Hours of Work: 37.5 hours per week, Monday - Friday

Salary: Dependent on experience

Main purpose:

  • Ensure a smooth and effective pathway for our patients.
  • Provide a timely response to patient enquiries received through emails and calls to the center
  • Be the first point of contact for patients to Complete Fertility
  • Be responsible for the outstanding elements of the Nurse consultation process
  • Provide information about out services and updates for all patients, including the promotion of any exclusive offers
  • raising invoices for services provided and prescribed medication, also taking payments via telephone
  • Arrange and book appointments and create consent packs prior to patients starting treatment
  • Monitor the availability of initial appointments ensuring that all perspective patients may be seen in a timely manner
  • Maintain efficient process flows
  • Utilise computerised tracking systems to locate case notes and investigation results.
  • Ensure patient information is maintained and updated on the appropriate patient information system.
  • Ensure that accurate records, both manual and electronic, are maintained and appropriate action is taken in a timely manner.
  • Process confidential patient-sensitive documentation to and from patients, other healthcare professionals and external agencies.
  • Ensure copies of letters, discharge summaries etc reach the appropriate people within the agreed timeframe
  • Chasing outstanding consents.
  • Monitor prescription pathway.
  • Data input and controlling Access fertility account.
  • Preparing consultation resources for the patients.
  • Work flexibly according to the company needs and undertake other duties upon reasonable request.
  • Liaise with all departments to organise the patient fertility journey
  • Input into the weekly operational meetings of the clinic
  • Promote an excellent patient focused journey
  • Assist with Audits (training provided) allocated to the nursing team.

The successful applicant must:

  • Have at least 2 years’ experience working in a busy administrative role.
  • NHS or private healthcare administrative experience (desirable).
  • Work flexibly as part of a multidisciplinary team.
  • Have evidence and/or qualifications in Customer Service training in a previous role (desirable).
  • Experience of call handling and dealing with customer enquiries or concerns.
  • Be happy to go the extra mile by proactively communicating, solving problems and building relationships with our private patients to ensure that they receive an excellent patient experience.
  • A willingness to work positively with the team to achieve goals and ensure excellence in service delivery.
  • Be highly motivated, with excellent communication and strong interpersonal skills with the ability to work effectively in a team environment as well as independently as required.
  • Able to build excellent relationships with our patients, directors, and consultants.
  • Awareness and understanding of the issues that our patients are facing with regard to assisted conception.
  • To promote a positive culture amongst the team and lead by example
