Your role
Are you a detail-oriented multi-tasker? Are you excited to take on new challenges and coordinate meetings, tasks, and projects? We are looking for a flexible, hands-on person with strong commitment, attention to detail, organized, excellent communication skills and a proactive working attitude. In this role you will support the Head of the Group Integration Office in her daily duties.
Your main responsibilities will include the following:

- complex diary management, including scheduling and coordinating internal and external meetings, conference calls and video conferences across time zones
- coordinating all aspects, incl. liaising with assistants from multiple teams across the firm and ensuring forward planning for meetings, events and deliverables
- planning travel arrangements and other ad-hoc requests
- supporting office administration and managing conference logistics
- handling administrative tasks such as distribution lists maintenance, access rights, organization units, or processing invoices and expenses
Your team
You'll be working in the Group Integration Office in London or Zurich, and you will play a pivotal role and are an important sparring partner to the Head of the Group Integration Office and her management team.

Your expertise
- prior 5+ administrative experience (e.g. calendar management, coordination of meetings for senior management) in a fast-paced, global environment
- organized and able to seamlessly multitask with a keen attention to detail
- flexible, adaptable, can-do attitude
- comfortable interacting with multiple personality types and communication styles at all levels
- able to deal with high pressure situations while maintaining respect and professionalism
- organized, with the ability to prioritize tasks and escalate critical information
- experience working with and handling confidential and sensitive information
- understanding and adhering to confidentiality and discretion
- fluent in English
