Overall Role Summary:
This highbred EA role represents a unique opportunity to engage at the highest level with the Product & Technology Leadership team supporting them in the department’s effective functioning and cohesion. Reporting into the VP, Transformation and Planning, the role will be closely integrated with the wider PMO and the work they do to drive and govern efficient, value-focussed deliveries across the department.
Please note the role will not involve diary management or PA support and instead focuses on supporting leadership actions and departmental support through central, consistent, highly visible communication and documentation. The role will ensure exemplary departmental communications, data management, accessibility, and structure around key documents and templates; organisation of meetings and events - both in person and remotely; tracking of key actions and outcomes on behalf of the leadership team; and taking on special projects in support of the leadership team and department as required.
Key Accountabilities:
Tasks are likely to include:
- Formulating the agenda for Product & Technology leadership meetings; highlighting and assigning action points; ensuring previous actions are updated/moved forward;
- Ensuring ready accessibility to key documentation and templates for the department in centrally-controlled consistent formats and locations;
- Pro-actively monitoring leadership and departmental governance requirements and working collaboratively to continuously improve the status quo;
- Organising and maintaining a central P&T calendar, scheduling and coordinating department wide and leadership meetings and events in partnership with other EAs/CofSs as needed.
- Arranging travel, visas, venues/accommodation and, occasionally, travelling to provide general assistance during off-site sessions – alongside the Bengaluru team when India based.
- Working with the P&T leadership team and wider department to drive consistency in the cadence and content of all departmental communications.
- Serving as an open point of contact for queries from within and outside the P&T department – responding or passing to the relevant owner as needed.
- Creating and maintaining an accurate departmental org chart for public reference.
- Carrying out background research and presenting findings, briefing papers, reports and presentations across special projects as needed.
Knowledge and Qualifications
The ideal candidate will have:
- Intellectual dexterity with developed research skills to track down and understand different and complex information and data
- A curious mindset - understanding opportunities and proactively sensing the requirement for action/work to be done
- Experience managing projects formally or informally – proactively following up on statuses and taking pride in ensuring that milestones are achieved
- A positive can-do attitude with a proven ability to get things done proactively and work independently when solving problems
- Relevant experience and administrative knowledge including planning and coordinating remote, domestic and international travel and events
- Experience writing and managing effective business communications
- An understanding of the benefits that technology can bring to the business and colleagues, a working knowledge of product and technology practices would be helpful
Skills and Behaviours Required

- Excellent word processing, excel and IT skills, including knowledge of a range of software packages – Sharepoint and PowerBI an advantage;
