An exciting opportunity has arisen for an experienced individual to join our team of Executive Assistants.
The successful candidate will be based at Eastbourne District General Hospital and would be expected to be cross site when required usually this would be 1 day a week with the option to work from home 1 day per week
Requirements and skills
- Significant experience as an Executive Assistant, Personal Assistant or similar role. Experience working in a large, complex organisation.
- Organised and ability to work under pressure within a fast-paced environment.
- Self-motivated and used to working with minimal supervision
- Excellent verbal and written communication skills.
- Discretion when dealing with confidential and sensitive matters.
- Excellent IT skills, including Microsoft Office Suite.
- Ability to provide an effective, customer-led response to phone, face-to-face or written communications, with tact and diplomacy.
- Ability to gather, analyse, interpret and present data/information using electronic or paper-based sources.
- Use initiative, drive and motivation, both independently and as part of a team.
The following outlines the post holder’s key responsibilities (this list is not exhaustive and to the post holder will be expected to undertake other tasks):
- Complex diary management, working with internal and external colleagues to arrange meetings and appointments.
- Inbox management recognising and flagging urgent correspondence and, where appropriate, responding to incoming emails.
- Developing and implementing effective systems and strategies to manage the activities and workload .
- Executive level meetings management, including a Board Sub-Committee meeting. This will include the scheduling of meetings, preparation of agenda, call for papers, taking and writing up minutes of the meeting and following up on actions.
- Working closely with the Executive Assistant Team to ensure a seamless and effective service to the wider Executive Director Team.
