About the role
IVC have an exciting opportunity for an Executive Assistant to join IVC to work closely with the CPTO and provide comprehensive and fully confidential administrative support and personal assistance for a team of board-level executives, acting as the main liaison between the executives and stakeholders within the organisation.
Key Responsibilities
- Provide comprehensive and fully confidential administrative support and personal assistance service to the Executive Team
- Answer and field any requests and queries appropriately and confidentially
- Coordinate complex scheduling and calendar management
- Travel and accommodation management
- Keeping emails and contacts monitored, updated and relevant
- Co-ordinate and organise meetings, conferences, and executive team meetings both in person and virtually
- Prepare meeting agendas and minute taking
- Collate information, statistics, reports, presentations and briefs where required
- Process invoices and expenses /mileage claims
- Collaborative with other EA’s globally across the organisation, and network with external stakeholders as required
What we are looking for in you
- Have demonstrable work experience as a Personal/Executive Assistant for Senior Management
- Proven success in managing high-volume workloads in a fast-paced environment
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Have experience of undertaking a varied range of office administration tasks and duties
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Ability to confidently network with internal and external stakeholders
- Outstanding time management skills, with the ability to organise and coordinate multiple concurrent projects
- Excellent verbal and written communication skills
- Ability to act with discretion and always maintain confidentiality
- Ability to multitask and prioritise tasks
- Meticulous attention to detail
- A proactive problem solver

Salary: £45,000.00-£55,000.00 per year
