Overview of Role
Great Wealth Managers must provide a first-class personal service, where team members truly know each client and understand their requirements, whilst also delivering on each client’s investment requirements. To achieve this, we adopt a collaborative approach, splitting relationship and portfolio responsibilities between Client Adviser and Portfolio Manager teams.
We are looking to recruit a high-calibre individual to join us to provide comprehensive administrative support to the CEO of Rothschild and Co UK Wealth Management. For the right individual this will be a challenging and rewarding role sitting in the very core of the business.
Responsibilities
Diary Management:
- Providing extensive EA support to the CEO
- Acting as the ‘gatekeeper’ to the CEO whilst mindful of representing the CEO both internally and externally – need to be able to adapt to CEO “style” of interacting with clients and colleagues.
- Ensuring the CEO keeps to her schedule – anticipating challenges and where she might overrun, and learning what to prioritise.
- Challenging the CEO on her diary – how she can be using her time more efficiently, what can be delegated elsewhere, proposing phone calls vs. meetings etc.
- Working closely with the Chief of Staff to track actions and support the CEO across all of her activity. Ensuring follow-ups or to dos from meetings are logged and actioned.
- Ensuring the CEO is prepared for internal and external meetings e.g. for external client meetings - collating papers, ensuring adequate prep with relevant client advisor and/or reading time. For internal meetings – liaising with the Chief of Staff / colleagues to ensure the CEO has had all relevant papers, including board packs etc. and has had time to talk through any issues ahead of the meeting. Ensure CEO has relevant talking points / speeches before speaking events (Townhalls, conferences, panels etc.).
- Anticipating and resolving issues in advance. Being proactive, thinking ahead, what needs to be considered, time found for, what to prioritise etc.
- Organising prospect and client entertaining i.e. in-house lunches, restaurant reservations etc.
- Ensuring CEO’s core leadership team (the Management Team) meet twice a week.
Travel:
- Responsible for organising hotel and travel arrangements (international and domestic) as required, including foreign currencies, airport pick ups, hotels etc.
- Having regard for other meetings, time zones, transfer times etc. Keeping note of potential meetings throughout the year that the CEO might have when in a particular country.
- Responsible for accurately preparing travel itineraries which include contact details, key addresses etc. and any relevant documents.
Communication:
- Dealing with all communication, phone, email etc. in a professional manner, taking accurate telephone messages and responding in an appropriate and prompt manner.
- Managing the inbox both direct and central – deleting junk, flagging urgent requests, flagging any actions from emails in the CEO’s to do list (planner) and following up accordingly to ensure these have been done.
Teamwork:
- Build good working relationships with other EAs / Team Assistants across the business.
- Build good relationships and working closely with the Business Management Team and the CEO’s core leadership team (the Management Team).
Admin:
- Taking ownership of the CEO’s prospecting – adding prospects to the CRM system and the prospect tracker, and working closely with an analyst in the business to ensure we are keeping up with comms and event invitations.
- Updating the intermediary and prospect diary weekly for the CEO.
- Reconciling expenses and claims promptly and accurately.
- Updating Workday with annual leave for CEO.
- Complete CEO’s CPD log.
Other:
- Liaising with the Business Management Team / Marketing team to organise internal events.
- Providing assistance with any external roles the CEO has and providing personal admin i.e. doctor’s appointments, gym, family travel etc, and reminders of things to be done. Needs to be adaptable on this point and recognise that providing this support to the CEO frees up her time.
Experience, Skills and Competencies Required
- Prior experience working as an Executive Assistant on a 1-2-1 basis ideally with experience at Board or C-suite level
- Advanced knowledge of Outlook, Word, PowerPoint and Excel
- Excellent interpersonal skills – able to communicate clearly and effectively at all levels within Rothschild & Co globally and externally with clients and prospects
- Ability to maintain high level of confidentiality in respect of information/documents/projects being produced/undertaken
- Ability to manage several projects simultaneously, whilst achieving consistently high standards of accuracy, detail and deadlines
- Proactive attitude with the ability to act with good judgment and common sense on a day-to-day basis regarding assigned and ad hoc duties
- Self-motivated, confident, resilient, a team player with a good sense of humour
- Enthusiastic attitude, solutions focused, reliable with a flexible attitude towards working hours
- Ability to work with limited direction and build up a thorough knowledge of an organisation
