Executive Assistant to CEO
This is a great opportunity to work for a multichannel communication company in North London supporting the CEO
You will be based in beautiful offices with excellent transport links on the mainline to Liverpool Street via Tottenham Hale/Seven Sisters and also close to the Victoria Line.
As an Executive Assistant you must have the ability to think independently, to make decisions, be resourceful, innovative, and proactive.
You must possess excellent communication skills to share information efficiently and effectively. You will have an exceptional ability for anticipating the needs and preferences of the CEO and not rely on the CEO’s direction for every step you need to make.
The successful candidate will also attend meetings such as senior management meetings with or on behalf of the CEO.
Key Tasks and Objectives
Administrative Support: Provide high-level administrative support to the CEO, including: Managing calendars, scheduling appointments, organising meetings, and coordinating travel arrangements. Prepare and review documents, reports, and presentations, ensuring accuracy and professionalism.
Communication Management: Serve as the primary point of contact for internal and external stakeholders, representing the CEO professionally and maintaining a positive and efficient flow of communication. Manage email correspondence, screen phone calls, and handle inquiries on behalf of the CEO.
Information Management: Proactively gather and compile relevant information and data to assist the CEO in decision-making and strategic planning. Ensure information is organised, easily accessible, and kept confidential when necessary.
Meeting Coordination: Plan, schedule, and coordinate executive-level meetings and events. Prepare meeting agendas, collect and distribute relevant materials and follow up on action items as required. Take accurate meeting minutes and disseminate them in a timely manner.
Relationship Management: Cultivate and maintain positive relationships with key stakeholders, including board members, clients, vendors, and internal staff. Coordinate meetings, conduct research, and prepare briefing materials to support effective interactions.
Project Support: Assist the CEO in managing and prioritising various projects and initiatives. Collaborate with cross-functional teams, track project milestones, and ensure timely completion of tasks. Prepare project status reports and updates as required.
Confidentiality and Discretion: Handle sensitive and confidential information with utmost professionalism and maintain strict confidentiality at all times.
There will be an element of travel into offices in Central London and to Warrington on the odd occasion.
Requirements and skills
- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting.
- Exceptional organisational and time management skills, with the ability to prioritise tasks effectively and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills, including the ability to draft professional correspondence and reports.
- Proficiency in office software (e.g., Microsoft Office Suite, Outlook etc).
- Excellent attention to detail and problem-solving abilities.
- Ability to exercise sound judgment and maintain confidentiality.
- Flexibility and adaptability to handle changing priorities and work independently.
- Professionalism, discretion, and a strong work ethic.
- Adhere to all compliance requirements and company policies
Working Hours
Working hours will be Monday – Friday 09:00 to 17:30. However, the successful candidate is expected to be co-operative in working longer hours if required on occasion according to the needs of the business.
