The Opportunity
We are currently recruiting for a temporary Executive Assistant (for a period of 6 months) to provide comprehensive administrative support to the Global VP and three Director’s & occasionally to the wider function. Work is generated primarily by the VP; however, support may sometimes be provided to an alternative function if that functions EA is unavailable. This position has flexible working from our office in Knowsley.

Your Impact
- Co-ordinate the VP / Director's schedule/ extensive diary management, make appointments and schedule meetings.
- Extensive travel arrangement US and Asia.
- Minute taking at weekly meetings and PowerPoint presentations.
- Keep in touch with the VP/Director’s when they are off site so that they are aware of urgent messages and commitments.
- Ensure the VP/Director is informed in advance of upcoming events.
- Open the VP/ Director's post including creating responses whenever possible and sort to ensure urgent correspondence is escalated appropriately.
- Book all courses and conferences attended by the VP/Director's.
- Track the VP/Director's expenses including coordinating the completion of monthly reimbursement forms.
- Reconcile the VP/Director's credit card accounts on receipt of statements.
- Record and chase fault and change requests made to Technology and Facilities.
- Support in ensuring QVC maintains a healthy and safe working environment for its staff.
- Raise purchase orders for the department and get them approved and processed in a timely manner.
- Accurate tracking of all fixed cost expenditure and reconciliation of invoices for the department including obtaining authorisation and processing in a timely manner to support prompt payment to suppliers.
- General composition of typing of correspondence, photocopying, and filing of the VP/ Director's and other members of the department as required.
- Ensure the weekly delivery of My Time reporting.
- Maintain TOIL reports for the department (London only).
- Make sure petty cash expenses are paid and manage the stationary supply.
What You Bring
- Advanced administration skills including letter writing and minute taking.
- Previous experience of extensive diary management and organisation for at least one VP/Director and team.
- Have an understanding of budgets and have previously managed and worked within budgetary guidelines e.g., travel arrangements.
- Have a working knowledge of reconciliation of expenses and invoices at VP / Director level.
- Good interpersonal skills with the ability to interact at all levels.
- The ability to prioritise own workload including assisting in prioritising the workload of the VP / Director where possible.
- Excellent organisation skills with the ability to work with minimum supervision.
- Excellent attention to detail.
- Be discreet and have the ability to handle confidential issues.
- Educated to A level standard or equivalent in Mathematics and English.
- Excellent working knowledge of Microsoft Office Packages and email ideally Microsoft Outlook.
