THE GIG
We are looking for an experienced and highly effective Executive Assistant, with excellent relationship building skills, to support, partner with and represent the Strategy department. You will be reporting into the Strategy Director, working closely with the wider Strategy team as well as stakeholders at all levels across the business. It is an impactful role working in a very busy and fast paced environment. You will be part of a committed and passionate, supportive, and collaborative team.
As our Executive Assistant, you will be responsible for:
- Efficiently managing the Strategy Director’s calendar, ensuring optimal use of their time.
- Taking ownership of planning, scheduling, and coordinating cross-functional meetings led by the strategy team.
- Preparing meeting agendas; ensuring all logistical arrangements are in place. Distributing agendas and relevant materials in advance to participants.
- Planning and executing off-site meetings and workshops for the strategy team.
- Coordinating travel, accommodations, and logistics to ensure successful off-site events.
- Maintaining and updating a global calendar that includes key dates, events, and milestones.
- Assisting in gathering, analysing, and presenting data to support strategic decision-making.
- Supporting with research and data compilation for various projects and initiatives.
- Processing and tracking expense reports for the Strategy Director and team members. Maintaining accurate records and reconcile expenses in a timely manner.
- Updating and maintaining a cost book that tracks relevant financial information and expenses for strategic projects.
- Coordinating onboarding of new vendors and ensure necessary documentation is completed.
- Actively support and promote strategic changes and initiatives within the organisation. Encouraging adoption and driving engagement among team members.
- Assisting in managing and coordinating special projects as assigned by the Strategy Director; ensuring project milestones are met and resources are effectively allocated.
- Creation of presentations and PowerPoint slides that convey strategic insights and information; incorporating data, visuals, and content to effectively communicate key messages.
- Maintenance and updating the strategy pages on the company’s internal platform (e.g., Backstage) with accurate and relevant information.

THE STUFF THAT SETS YOU APART

- You can confidently manage expectations of senior stakeholders, with frequently changing business priorities and schedules.
- Extensive experience in confidently supporting and collaborating with senior C-suite stakeholders and external non-executive board members at a global level.
- An expert communicator, on the phone, in all written forms including email and face-to-face.
- You work well under pressure, are self-motivated, and can manage upwards.
- Have a flexible approach to work, especially when working to deadlines and business activity across various time zones.
- You can be adaptable, personable, and flexible to suit the styles of the Executive or a member of their team.
- You are a passionate team player and would enjoy utilising your skills to help with ad-hoc projects within both teams and across the office.
- You must have excellent IT skills, including video calls on Zoom and Teams, Word, Excel and PowerPoint.
