Executive Assistant to Programme Director
Band 5
37.5 Hours per week
Fixed Term/Secondment - 12 Months
An exciting opportunity has arisen for a Band 5 Executive Assistant to work for the Beyond Children and Young People (CYP) Transformation Programme across Cheshire and Merseyside (C&M).
The appointed candidate will be passionate about improving health and care outcomes for children, young people, and their families.
The C&M HCP and NHSE National CYP Transformation Programme are already well aligned on six initial areas of focus, driven by the NHS Long Term Plan. These will come be part of the Programme portfolio immediately, and further priority areas are expected to follow as progress is achieved and the single system plan for CYP in C&M is collaboratively agreed:
1. To improve the mental health and wellbeing of CYP
2. To increase activity levels, improve nutrition and reduce childhood obesity
3. To improve the respiratory health of CYP from preconception to adulthood
4. To improve access to services and support for CYP with learning difficulties and autism
5. Epilepsy
6. Diabetes
The primary purpose of this key role is to support the successful delivery of the Beyond CYP Transformation Programme.
To provide executive assistant support to the Beyond Programme Director, as well as the project team, to improve and maintain the successful delivery of the Beyond CYP Transformation Programme.
- Maintain an up to date confidential list of all appropriate contacts for the Director(s).
- Undertake specific projects, as dictated, including those at Board level.
- Prioritise the Directors’ workloads effectively to ensure that reports are provided in a timely fashion and that all necessary meetings are prioritised.
- Maintain and manage an accurate and efficient diary system. Manage a forward planning system to ensure that deadlines are met with other team members and colleagues in other directorates or teams.
- Prepare agendas for meetings for the Programme Director and to distribute paperwork, track actions and take formal minutes at those meetings. The PA is also responsible for dealing with routine enquiries associated with such meetings.
- Produce high quality correspondence, reports, presentations, project plans and spreadsheets.
- Ensure diplomacy when liaising with all members of the public, staff, including senior personnel, Chief Executives, Directors, MPs and Board members and being sensitive to needs whilst maintaining a high level of professionalism and confidentiality.
- Initiate, manage and administrate conferences and events for which the Director(s) has lead responsibility
- Manage/lead ad-hoc delegated projects as required.
- Attend and report back from meetings as required
- Create requisitions for purchasing and chase any invoices to ensure prompt payment
- Undertaken any other reasonable duties required
