THE ROLE
To provide comprehensive EA support to the Head of Real Estate and Chief Operating Officer (COO) and support the Corporate Communications team and Head of Technology. This role requires a self-sufficient, flexible candidate who has the ability to work under pressure and is an excellent communicator, extremely well organised and demonstrates the ability to pay close attention to detail.
WHAT YOU’LL DO
- Support to the Head of Real Estate and COO:
- Pro-active approach to diary management: co-ordinating busy and ever-moving schedules. Understanding busy periods and actively helping to prioritise time e.g. through understanding and suggesting what can be delegated, keeping a monthly/weekly/daily track of events.
- Highly organised: ensuring the Head of Real Estate and COO’s lives are easy to operate, through understanding key documents produced throughout year.
- First point of contact for incoming calls, correspondence, internal and external contacts.
- Ensuring the Head of Real Estate and COO have all necessary tools well in advance of meetings including briefing notes, agendas, background presentations and general documents where required.
- Provide inbox management to the Head of Real Estate and COO.
- Organise the agenda and logistics for Real Estate All Hands departmental meeting.
- Organise events for the senior COO team, e.g. quarterly dinner and away days.
- Organise periodic team events for Real Estate and COO teams e.g. Christmas drinks.
- Lead the organisation of the End of Year Company celebration.
- Work with the CEO and Chairman’s EAs to organise senior external events in lieu of the Chairman’s Reception, e.g. customer dinners and corporate hospitality.
- Close liaison with other EAs and direct reports to ensure priorities are communicated and any outstanding matters are followed up in a timely manner.
- Organise itineraries for travel within the UK and occasionally worldwide.
- Preparing and amending PowerPoint presentations both for internal and external view.
- Regular admin duties; filing, processing expenses, responding to invitations, updating hospitality register, etc.
- Support to the Head of Communications and Communications team:
- Provide comprehensive diary support to the Head of Communications.
- Process expenses for the Head of Communications
- Work with the Corporate & Internal Communications Manager to manage the Corporate Communication budget lines:
- Process POs and invoices
- Manage the Corporate Memberships and liaise with external suppliers regarding membership renewals
- Keep the Head of Communications updated on budget spend
- Work with the Head of Communications to manage the quarterly British Land Leadership Team (BLLT) meetings and events.
- Work with the Internal Comms team to manage the All Staff Conference
- Work with the Internal Comms team to issue communications and events to all staff.
- Manage the corporate events calendar, ensuring that key dates and events across the company are included.
- Work with the Internal Comms team and Community team to manage the communication of Community Week.
- Work with the Internal Comms team to manage the monthly Staff Meetings run at York House, helping to prepare slides and liaising with all stakeholders and the Tech team.
- Support the Head of Technology:
- Provide comprehensive diary support to the Head of Technology. Process expenses for the Head of Technology.
ABOUT YOU
- Ability to work with independent judgement
- Confidentiality is a must for this role as you will be dealing daily with highly sensitive information
- Experience of working in a similar Executive level role
- Confidence to liaise with other Senior Directors and their assistants
- Flexibility – must be able to deal with different levels of workload
- Must have excellent written and oral communication skills
- A collaborative and strong team player
- High level of emotional intelligence
- A professional attitude and able to demonstrate great initiative
- Excellent organisation skills
- An advanced knowledge of MS Word, Outlook and PowerPoint
- Ability to adapt to last minute changes with diplomacy and tact
- Excellent attention to detail and accuracy
- A willingness to learn about the company
- Able to use knowledge learnt to look at the bigger picture to understand where tasks fit in
