Position Overview:
We are an architectural and design and property management firm looking for a responsible, honest and trustworthy person to assist and be the right hand to the business director. Must have good PR, customer relation skills, and great communicator.
The Executive Assistant to Director will provide business and personal support, as well as work on a one-to-one basis on a variety of tasks related to director’s working life and other tasks.
The role is part time 3 days a week with a possibility of turning permanent. This position will be ideal for student or anyone with an interest for design.
Main Duties Includes:
- Diary handling
- Call handling
- Project Co-ordination
- Chasing payment
- Monitor, screen and responding to communications
- Prepare and edit communication, presentation and documents
- Finding solutions to problems
- Conduct research, collect and analyse data to prepare reports and documents
- Be enterprising and forward thinking
- Bookkeeping
- Updating Website and Social Media Management
- Attending meeting with clients
- General office administration works.
- Preparing quotation, invoices, accounts etc
What we are looking for and the required skills:
- Experience as an Executive Assistant
- Experience in Microsoft applications, advanced knowledge of Word, Excel and PowerPoint. Experience with Google Docs / Mail a plus/ Dropbox
- Excellent organisation and co-ordination skills – the ability to prioritise and work to deadlines
- Excellent time management skills
- Excellent communication / interpersonal skills – the ability to interact at all levels
- Good verbal and written English with an excellent eye for detail
- Has the ability to work both as a team member and on own initiative when required
- Has the ability to bring fresh ideas and a new perspective to the demands of the role
- Has the ability to deal with clients and key stakeholders in a professional, respectful and pro-active way
