Executive Assistant (EA) to the Executive Chairman and Chief of Staff

Reporting to: Executive Chairman

Overview

We are currently looking for an EA to support the Executive Chairman and Chief of Staff in an international investment business. The ideal candidate will be a proactive problem solver with exceptional communication skills and attention to detail. This person should have experience of working in a busy office environment, performing administrative duties and providing support to managers. Given the dynamic nature of our business, we rely on EAs to be flexible and consistent, while maintaining the confidentiality of high-level systems and operations. As the Executive Chairman’s EA this will be a central role within the team, working closely with other senior team EAs and Senior Management.

Key Responsibilities

  • Managing the calendars of the Executive Chairman and Chief of Staff, in conjunction with the Executive Chairman’s PA, to ensure meetings, travel and schedules are realistic, relevant and prioritised effectively.
  • Accurate administration; including arranging for documents to be signed, papers to be read for meetings, expenses, travel, etc.
  • Organising off-site meetings, dinners and events as instructed, and helping the Chairman with his external activities.
  • Meeting guests and ensuring visitors are catered for as required.
  • Screening calls, responding to emails and other correspondence as directed.
  • Providing back-up for other team EAs as required, helping to cover when necessary.
  • Ensuring that all output from the Executive Chairman’s and Chief of Staff’s offices is of a very high standard, within our brand guidelines and tone of voice.

Key Attributes

  • A confident self-starter.
  • At least 3 years’ experience of working at C-Suite level as an EA within a busy office, or able to demonstrate working in a pressured environment with proven organisational skills.
  • Organised and efficient.
  • Ability to multitask and remain calm.
  • Discreet and confidential, with a high degree of integrity.
  • Excellent verbal and written English.
  • Confident using Microsoft 365 suite.
