Location: Hybrid working, Head Office based in Thame, Oxfordshire

Hours: Full time hours, Monday – Friday

Salary: up to £45k per annum DOE + our competitive benefits package

Role overview:

You will be supporting our CEO, Jesper (50% of the time) and the rest of the Senior Leadership Team (SLT) (for the other 50%) allowing the team to focus on what only they can do. You will be providing structure and alignment for the executive team meaning; that the person for this role is someone who can turn chaos into structure, loves variety, is a fast trouble shooter and churns work. You must have had Executive Assistant/PA experience supporting at Board level on a one-to-one basis. You have strong experience with the board meeting and reporting process. Strong minute-taking and overall great written and verbal skills. Attention to detail and accuracy is imperative for this role.

Main responsibilities:

  • Scheduling meetings both internally and externally
  • Triaging and responding to emails on behalf of our CEO
  • Meeting CEO on a daily basis, ensuring they are kept updated with any new meetings added to his diary, communicating reminders, getting answers to your queries and planning ahead
  • Corresponding with the Board of Directors and scheduling the company board meetings
  • Co-ordinating the monthly board reporting process, consolidating, proof reading and distributing the board pack to the Board of Directors and the SLT
  • Gathering information by staying on top of things and suggesting relevant items for discussion to include in SLT meeting agendas, ensuring that no stone is left unturned
  • Planning SLT events, company-wide Town Halls and business update meetings
  • Setting up and distributing all-company surveys, following up responses and feeding back results
  • Assisting planning company events and being part of our social committee
  • Taking notes during meetings and keeping track of actions
  • Maintaining the company organisational charts
  • Supporting CEO with weekly cross company communications
  • Processing expenses

Skills/Experience required:

  • Well known for your superhuman organisational skills
  • A confident, self-starter and comfortable working autonomously
  • Able to intelligently anticipate potential problems and prevent them effectively
  • Comfortable juggling and prioritising to-dos when things are super busy
  • An energetic, affable person, comfortable working with anyone and everyone
  • Great at getting things done in an efficient and pragmatic way
  • 100% trustworthy and keen to bring your true, open self to work
  • Able to manage sensitive matters with a high level of confidentiality and discretion
  • To the point – a concise and talented communicator in writing and in person
