The Executive Assistant/Operations Administrator is responsible for providing comprehensive support to the CEO and leadership team whilst managing the organisation’s operations and working with an internationally based team. This dynamic position requires the ability to anticipate needs, timely responses, think critically and offer solutions to problems with a high level of professionalism and confidentiality. This position requires the candidate to work under flexible working hours due to the 24/7 operation that we operate.
Responsibilities
- Impeccably manage the daily tasks assigned by the CEO and provide regular updates across different business projects.
- Arrange and manage meetings and events: schedule meetings; travel and accommodation; agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
- Prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Managing and flagging important emails and correspondence for the CEO and responding to all inbound enquiries via email and phone.
- Act as a liaison and provide support to the Leadership Team
- Coordination and assistance with website updates and marketing activities.
- Managing databases, spreadsheets and filing systems with an exceptional eye for detail and accuracy for data entry & management
- Basic financial duties including processing invoices/bills and updating revenue and payment records.
- Assisting the directors in the production of sales and marketing reports.
- Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO needs in advance of meetings, conferences, etc.

Successful candidates require the following:
- Excellent command of English - written and spoken.
- Ability to work out with the 9-5 environment and respond to needs at different times.
- Strong ability to execute work autonomously.
- Ability to manage multiple projects simultaneously with continuous updates to the CEO.
- Basic technical proficiency and problem-solving skills related to web-based applications and messaging applications.
- Very strong verbal and written communication skills.
- Exceptional organisational skills and impeccable attention to detail.
- A high degree of professionalism in dealing with diverse groups of people.
- Make appropriate, informed decisions regarding priorities
- Ability to complete tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
Excellent judgment is essential.
- Ability to switch gears at a moment’s notice.
- Ability to work well within a cross-functional team environment and diverse communities.
