We are looking for a full-time Executive Assistant to be based in our newly acquired Headquarters in Birmingham Business Park supporting our C-Level team.
This role is to support the CEO, CFIO and other senior leaders with managing agendas, scheduling global travel arrangements, and following up on meetings and actions on behalf of the senior team. The candidate should be comfortable working within a global company with multiple time zones which can lead to out of hours working. Additionally, on-site, this person would be responsible for facilitating the requirements of a busy, global senior team, and ensuring the smooth running of the office.
Main Responsibilities
Be the point person for office administration duties including:
· Managing the diary for the CEO, CFIO and Senior Leaders
· Scheduling meetings and appointments
· Booking global travel arrangements and managing expenses
· Planning in-house or off-site activities, like Board meetings, workshops and conferences
· Draft, review and send communications on behalf of company executive(s)
· Organize and prepare for meetings, including gathering documents and attending to meeting logistics
· Maintenance of various records and documents for company executive(s)
· Maintenance of the office condition and providing general support to visitors
· Managing contract and price negotiations with office vendors, service providers and office lease
· Assisting with the onboarding process for new executive hires
Requirements and Skills
Previous experience as an Executive Assistant in a global environment is essential.
Proficiency with Microsoft Office applications is essential.
· Excellent time management skills and ability to multi-task and prioritize work
· Experience working within a global environment
· Willingness to work outside of office hours when needed
· Excellent written and verbal communication skills
· Strong organizational and planning skills

Job Type: Full-time
Salary: £40,000.00-£50,000.00 per year
