Job description
We’re on the lookout for an Executive Assistant to support our CEO and other executives in their initiatives, projects and planning.
Your new adventure:
- Manage the daily calendars and email communications of the CEO and other executives
- Act as the gatekeeper between senior/executive management and other key stakeholders
- Ensure timeliness of approvals and proper documentation
- Organize and prioritize critical issues and required information for the executive to facilitate efficient decision making
- Develop and maintain strong working relationships with the executive team, leadership team, external partners and other departments to align business plans and strategic initiatives
- Anticipates needs and is proactive in approach when assisting on various topics
- Ability to liaise with other EA’s in and outside of the organization
- Screen and respond to emails on complex matters while discerning between critical and less urgent matters
- Prepare expense reports
- Schedule and coordinate managers/directors/staff meetings, create agendas, draft and distribute meeting minutes
- Manage the executive team travel schedules, arrangements and itineraries in a timely, detailed and organized manner
- Exercise complete discretion and handle highly confidential information with 100% integrity
- Hybrid role - will be required to come to office occasionally to help with in person meetings, planning, project meetings and other
- Required to travel as necessary
- Management a team of one other assistant
Does this sound like you?
- Bachelor’s Degree or Equivalent experience preferred
- 6+ years managing complex details and administrative tasks as an assistant
- 2+ years in a high growth tech organization preferred
- People management experience a plus
- Must have the ability to be proactive in resolving issues
- High level of customer service to both internal and external customers
- Independent, strategic and creative thinker who is a strong team player and is willing to take on additional responsibilities as necessary
- Ability to prioritize and work under deadline pressures
- Ability to interact effectively with multiple internal teams and executives in a fast-paced environment
- Intellectually curious and a self-starter
- Excellent organizational skills and attention to detail
- Experience in private equity strongly preferred
- Software technology industry experience or a fast learner
- Computer skills required for various system admin work and Microsoft suite/Google suite usage
