Job description

Main purpose of role:
Your role will involve managing schedules, coordinating meetings, handling confidential information, and assisting in various HR-related projects. The ideal candidate should possess great communication skills, excellent attention to detail, and a strong ability to prioritise.
Key Responsibilities include:
  • Calendar Management: Maintain calendars, scheduled appointments, and coordinate meetings, ensuring optimal time management and alignment with priorities.
  • Travel & Expenses: Arrange domestic and some limited international travel itineraries, including flights, accommodation, ground transportations, as required. Prepare detailed travel agendas and expense reports.
  • Email correspondence: Manage incoming and outgoing communication on behalf of the HR Director, including emails and, where appropriate, wider team communications.
  • Meeting Coordination: Organize and schedule a range of meetings with a variety of stakeholders. Prepare meeting agendas, collate supporting documents, ensure actions are completed and distribute minutes.
  • Travel and Expenses: Arrange domestic and some limited international travel itineraries, including flights, accommodation, ground transportations, as required. Prepare detailed travel agendas and expense reports.
  • Confidential Information Management: Handle sensitive and confidential information with utmost discretion.
  • Project Support: Assist the HR Director in the coordination aspects of various HR projects, such as employee onboarding and offboarding, performance management, talent acquisition, training and development initiatives, and policy implementation.
  • HR Reporting: Assist with the generation of various HR reports and HR-related analytics.
  • Invoice management: Raise purchase orders and ensure all HR-related invoices are processed within the required timescales.
  • Budgeting support: Assist with the reporting of HR spend against budget.
Skills & Experience
  • Proven experience as an Executive Assistant, preferably in a human resources department or supporting HR leaders.
  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills.
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint).
