The role
We are seeking a talented, adaptive, and experienced Executive Assistant to provide high-quality and comprehensive support to our Executive Team. Our successful candidate will have calendar management experience combined with a sound understanding of C-suite coordination. This is a full-time, primarily onsite position in our Newcastle HQ with flexibility for hybrid working.
Working in the Executive Support Team, our successful candidate will report to the CEO’s Executive Delivery Manager and support with a range of tasks including meeting scheduling support, organising travel using our travel booking system, and helping with completing expense claims. The role will also support the smooth running of the monthly Supervisory Board meetings by coordinating board submissions.
The Executive Support Team aims to offer high-quality and effective support to a busy team of Executives at Opencast. As the 2nd member, the successful candidate will primarily be providing support to the CEO and light touch support to the rest of the Executive Team. As the EST expands, greater support will be offered with more extensive business partnering offered.
Essential experience:
- Highly organised with excellent communication (verbal and written) and numeracy skills.
- Proven ability to work to absolute deadlines.
- Managing the diary requirements and arranging meetings and appointments for others.
You'll need a good understanding of:
- Ensuring time is maximised and deadlines are met.
- Planning and coordinating various projects and meetings, including setting agendas, producing and circulating minutes in a timely manner and following up on agreed actions.
- Maintaining accurate registers and records.
- Arranging travel logistics, including flight bookings, hotel accommodations, and transportation arrangements for the executive and other team members as necessary.
- Maintaining confidential and sensitive information, exercising discretion and professionalism at all times.
Other helpful skills:
- Conducting research, compiling data, and preparing reports or presentations as requested.
- Assisting with special projects and initiatives as assigned by the executive, ensuring timely completion and high-quality deliverables.
- Collaborating with other support members to ensure seamless office operations and provide backup support as needed.
- Liaising with internal and external stakeholders, including our people, clients, and supplies on behalf of an executive.
- Coordinate and manage internal and external communications on behalf of the executive, including drafting and editing emails, letters, and other documents.
