The Executive Support Team
We’re looking for an Executive Assistant to support our Chief Insurance Officer and Chief Financial Officer by aiding in scheduling, helping plan events and keeping everything running smoothly.
This role will report to the Executive Assistant for our two co-CEOs & Founders.
What you’ll be doing
Taking ownership of complex diaries and schedules through gatekeeping and prioritisation
Managing email inboxes; highlighting relevant items to the CIO and CFO’s attention
Helping plan logistics and catering for onsite and offsite meetings - including regular team-wide meetings
Organising national and international travel; coordinating expense administration
Creating, formatting and editing documents, including presentation decks
Taking accurate minutes in board meetings; distributing agendas and board packs
Who you are
A whizz with diary management, actions and all things linked to Executive support
Adaptable by nature with a strong desire to work in a fast-paced, dynamic environment
Proactive and using initiative to find solutions
Hardworking, positive attitude and warm, friendly personality
Dependable, trustworthy and discreet
What we're looking for from you
Previous experience as a Personal Assistant / Executive Assistant, or similar. You will have experience of coordinating multiple administrative tasks and are ready to step up into a more challenging role involving C-Suite support
Ability to work sensitively and challenge stakeholders when necessary
An excellent communicator who is fluent in written and spoken English
Someone highly coordinated who knows how to get things done and thrives in a busy environment where no two days are the same
Knowledge of G-Suite and working experience with Macs
Willingness to travel to internationally to our offices in Gibraltar (around once per quarter)

Our Process
We break it up into a few stages:
Initial call with Lotti Cook, our Talent Acquisition Partner (30 mins)
Technical interview with Rhiannon Padmore, EA to CEOs, where you will discuss your experience in more detail (45 mins)
A culture interview to check that your work style fits our processes and values (1 hour)
A virtual coffee with our CIO (20 mins)
We’ll let you know if you’re invited to an interview or not. But, as a small team with a lot of applications to consider, we can’t give personal feedback on each application.
Background checks
To meet our regulatory obligations as an FCA-authorised financial services company, we need to do some background checks on all new hires. That means carrying out a DBS check and making sure you don't have any live criminal proceedings. Feel free to ask our Talent Acquisition team if you have any questions about this!
