Job summary
We are currently recruiting for an Executive Assistant to work on a remote basis. This is an exciting opportunity to provide effective and efficient management support to the Executive Board.
Established in 2019, Livestock Information Ltd is a data led organisation with an ambition to enable a more sustainable and competitive meat and livestock sector through its single, modern, and efficient traceability service. The service aims to become an important national tool to better control endemic livestock diseases. Working in partnership with both industry and government, the sheep, goat and deer movement service and livestock identification service was successfully launched earlier this year.
This position is available on either a secondment basis or as a permanent post. Both options are Home Based, with occasional travel for meetings.
Job description
- Provide a professional, efficient and effective management support service to the Executive Board in dealings with internal and external stakeholders including sponsors and industry
- Manage Executive Board team diaries, arrange meetings (and other arrangements) and be the first point of contact
- Source briefing material for meetings and provide agendas / papers for key internal and external meetings
- Liaise closely with the Executive Board and all staff to ensure timely communication of information and advice to and from the Executive Board
- Provide secretarial support for Board meetings, including organisation of meetings and events, and taking minutes
- To provide diary management and administration support to the Executive Board including:
- Co-ordinating and administration of diaries and paperwork in relation to meetings and other projects
- Highlighting, bringing forward and prioritising items requiring action / attention
- Awareness of the status of issues currently under debate
- Being familiar with the representatives of Government, Parliament, members, journalists and other stakeholder organisations with whom the Executive Board has contact
- Providing assistance or information as required to support key LI Ltd events and functions
Person specification
- Experience of working in a secretarial role at senior level
- Strong people management skills
- Excellent accuracy and numeracy skills
- Strong communication skills, both written and verbal
- Good time management and organisational skills
- Self-motivated/proactive thinker
- Professional, approachable with a positive attitude
- Ability to work under pressure (often unsupervised) and meet strict deadlines
- Excellent knowledge of Excel, Word and PowerPoint (m365) and MS Teams
- Experience of working within a membership organisation or knowledge of the agriculture industry is desirable
