Position:
IPRS Group are looking for a highly organised, efficient, and adaptable Executive Assistant to support the Chief Executive Officer (CEO). This is a new full-time position due to continued growth of IPRS Group and is being offered on a remote basis, with occasional travel Gatwick/London/South East. The successful candidate will be highly organised, an excellent administrator with great attention to detail with previous diary management experience.
More specifically, the responsibilities will include:
> Prioritise and coordinate all requests for the CEO’s time ensuring optimal time management and scheduling efficiency.
> Diary management.
> Liaise with other department heads on behalf of the CEO and maintain close contact to facilitate smooth operations.
> Ability to take on the spot dictation and produce a high standard of written work with excellent spelling and grammar.
> Handling incoming and outgoing communications on behalf of the CEO where required, including emails, phone calls, and other forms of correspondence, reports, and presentations, maintaining accurate records and documentation.
> Handle confidential and sensitive information with discretion and professionalism.
> Responsible for managing the CEO’s to-do lists and project trackers, ensuring tasks are organized, prioritized, and completed efficiently.
> Support the CEO with preparing for meetings, including agenda preparation, & presentation materials.
> Attend and take notes during meetings, track action points, and follow up on deliverables.
> Be able to use initiative & self-manage.
> Ability to manage change and adapt to changing situations at short notice.
> Carry out ad-hoc projects as required.
Requirements:
Essential Criteria
> Minimum 3 years’ experience in a similar role as an executive assistant or personal assistant.
> Strong planning, organising, and time management skills.
> Excellent communication and interpersonal skills with the ability to communicate with a range of stakeholders at all levels.
> Assertive, passionate, and self-driven.
> Proficient in Microsoft Office.
> Excellent command of English – both verbal and written.
> Someone flexible and able to meet the demands of the CEO’s busy work schedule.
> The right to work in the UK.
> A UK driver’s license to enable travel to London/South East.
Other information:
Salary - Circa £35,000pa
Monday - Friday 40 hours per week 8.30-5pm, with some flexibility to attend evening meetings if required.
