Job brief
Hope Housing Training and Support Ltd is a local Bournemouth Charity helping the homeless across Bournemouth, Poole and Christchurch. This is done by the provision of supported accommodation of 92 beds across 12 properties. We also have a Community Interest Company called Hope and More which runs a Charity shop in near by Southbourne and a Hope soap business buyonegiveonesoap which offer a retail arm to the Charity.
We are looking for an Executive Assistant to perform a variety of administrative tasks and support our Charity senior-level managers.
Executive Assistant’s responsibilities include managing calendars, making meeting arrangements, analysis reports and help with the smooth running of the office. To be successful in this role, you should be well-organized, have great time management skills, be always confidential and be able to act without guidance.
Ultimately, you will contribute to the efficiency of our business by providing personalised and timely support to executive members.
Responsibilities
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner.
- Manage executives’ calendars and set up meetings.
- Prepare weekly, monthly or quarterly reports for management and Trustees.
- Weekly from Hope & More Charity shop.
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings.
- Research projects and collect data for management.
- Assist the Funding manager with application submissions and end of grant reports.
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system online and paper while working towards a paperless office.
- Help with functions and fundraisers regarding organisation, attending and preparing/sourcing materials needed for events while liaising with the company’s event organisers.
- Assist in marketing the Charity and being able to monitor social media output being added to all relevant sights by other members of staff.
- Assisting the Charity shop manger with any necessary correspondence needed between the CEO, external book keepers and the shop.
- Champion office efficiencies by becoming a champion of Teams and our HIHI telephone system.
Requirements and skills
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications.
- Excellent verbal and written communications skills.
- Discretion and confidentiality.
- Social media knowledge.
- Flexibility, enthusiasm and ability to work in a small team for a passionate cause.
