Job description
- Perform a variety of administrative functions in support of a large department, directly supporting department VP and leadership team
- Organize resources and communications, including written and electronic forms control
- Schedule and plan meetings, training sessions and travel
- Compose department and corporate communications
- Prepare and distribute agendas for meetings and schedules
- Record, compile, transcribe and distribute minutes of meetings
- Maintain office inventories
- Maintain electronic and hard copy filing system
- Receive, host and direct visitors and customers
- Resolve administrative problems and inquiries, answering questions regarding business unit policies and procedures
- Compile information and prepare moderately complex reports using appropriate software to prepare charts, graphs, and tables as necessary for including in reports or presentation materials
- Maintain the personnel/payroll processing and record keeping, regarding vacation, sick, and weekly schedules for a small leadership team
- Regular attendance is required.

- High School Diploma and up to 2 years of administrative experience, or any combination of education and experience which would provide an equivalent background
- Proficiency in MS Word, Excel, Access and Outlook; computer mainframe experience is required
- Ability to deliver world class customer service to internal and external customers at all times
- Must be internet savvy
- Excellent organizational and time management skills
- Strong analytical skills
- Excellent telephone and communication skills with the ability to interface effectively with all levels of customers and company employees
- Fast and accurate typing skills and computer knowledge
- Ability to create and format reports from various data sources
- Ability to work with sensitive information and maintain confidentiality at all times
- Must be a career oriented, pro-active person
- Must be a self-starter with ability to work independently and function well in a flexible environment
- Must be energetic, enthusiastic and reliable
- Experience in Transportation Industry (LTL) experience preferred
- Must be organized and able to manage multiple projects at once
- Must be able to lift approximately 20 lbs., or more if required by the essential functions of the job
- Must be able to comply with all company policies, rules, procedures and Code of Conduct
- Must be able to interact well with others
- Must be able to work independently, or in a team setting
- Must be capable of working under tight time constraints in a high volume environment with multiple priorities
- Responds well to questions; Ability to read, interpret and comply with written information and documents such as safety rules, operations / procedure manuals and maintenance instructions with a high comprehension and concentration level to include the ability to meet deadlines
- Must pass a pre-employment drug screen, random drug and/or alcohol tests, and will be subject to a criminal history background check
- Must be authorized to work in the United States
