Job description
This individual will provide high quality professional services to students, staff, faculty, and external stakeholders. Additional responsibilities include semester and class scheduling, oversight of curricular changes from the Academic Council including setting up new courses in Banner.
Work with the Associate Provost and other offices to set academic calendars and schedule ESL and Honors classes. Work with the Admissions Office and the academic Departments to coordinate new students’ and transfer students’ class schedules each semester and assist with schedule changes during Freshmen Orientation.
Assist the Associate Provost with new Faculty Orientation including updating handouts and pertinent information. Assist with early enrollment and dual enrollment for high school students. Additionally, this individual is responsible for processing all Academic Exceptions from submission to a final decision.
Job responsibilities require the ability to establish and maintain effective working relationships with students, faculty, staff, and the public through strong interpersonal skills and communication.
A working knowledge of current technology and applications as well as ease in learning new software packages is required and knowledge of the Banner Student Information System is a must. Work activities are carried out independently, under general direction, working from established policies and objectives.
This position exercises sound judgement in prioritizing, planning, and organizing own work within time, process, and results requirements; determines processes and sequences to follow based on needs and urgency required by the circumstances.
Problems faced in this position are varied, often complex and confidential, requiring analysis, interpretation of the situation, and sensitive solutions.
- Communicates with students and various offices on- and off-campus to resolve problems.
- Ensure orderly work flow between and among offices related to student scheduling, academic calendars, academic exceptions, and curriculum.
- Posts minutes and forms to the intranet in a timely manner.
- Assist with early enrollment and dual enrollment for high school students. Work with P-12 school counselors and various offices on campus.
- Work with the Admissions Office and the academic Departments to coordinate new students’ and transfer students’ class schedules each semester and assist with schedule changes during Freshmen Orientation.
- Ensures all academic related-processes in Banner are functional and up to date each semester.
- Collaborate with the Registrar in the oversight and application of all curricular and policy changes in the Academic Catalog and in updating all information from various offices for the next academic year.
- Log and route Academic Exceptions to appropriate individuals and send final decision to student and Registrar.
- Other responsibilities defined by the Associate Provost and/or Provost to support the work of the Provost’s Office.
- Also complies with all Policies and Standards.
- Assist with other activities and duties assigned by the Associate Provost.
5+ years (preferred) work experience that provides the required knowledge, skills, and abilities to perform the job effectively.
- Computer proficiency (Word, Excel, Banner, Argos, Outlook,) required, knowledge of web proficiency preferred.
- Person needs to be a self-starter, self-directed, detail-oriented, have the ability to multi-task. Strong interpersonal, organizational, phone and writing skills are required as well as an attitude of serving and putting others first.
- Preferred candidate should be a self-motivated, team-player who takes initiative and works well with others. Position requires independent actions utilizing defined policies, procedures, and deadlines.
- Individual must maintain a high degree of confidentiality while working with sensitive information.
Salary is commensurate with education and experience.
