About the role
We are looking for a colleague to join our busy executive office to help with email management, meeting organisation and administrative tasks related to our board meetings.

Working within the Chief Executive’s office, this role is critical in providing comprehensive diary support to the Chief Executive, working with senior external stakeholders, and colleagues from across the organisation. It is pivotal in prioritising the Chief Executives time, ensuring that there is balance between internal and external commitments, and prioritizing commitments at times under pressure.
It also works closely with the Governance team to ensure the smooth running of the Governance cycles and providing confidential and timely support to Trustees and Executive when required. This includes monitoring the Governance email account and maintaining the decisions database.
This is a fast-paced role, which demands attention to detail and tenacity in reviewing multiple diaries to identify opportunities. The core of the role is focused on diary management which is an important and valuable one which is essential to smooth day to day running of the CE office. Whilst the bulk of the time commitment of the role will be focused on diary, it also encompasses other administrative tasks such as drafting correspondence, planning logistics for small events and travel planning, and the governance administration already detailed.
We can make this role work anywhere between 27 and 35 hours per week, and would welcome a discussion with candidates about availability both weekly , and also across the calendar year.
About you
You will have an understanding of the aims of the Joseph Rowntree Foundation and Housing Trust, and have an appetite to learn and understand more about what we do.
You will be a good communicator with excellent verbal and written skills. Confident with IT in particular knowledge of Microsoft Office applications including Teams, Outlook, Word, Excel, PowerPoint. Have an ability to work to tight and conflicting deadlines, and have evidence of high levels of self- organisation. Have an ability to stay calm under pressure and to exercise a ‘can do’ approach at all times. You will have experience of working autonomously and making sound decisions on your own initiative.
We are keen to encourage anyone leaving full time education to apply, so whilst the following attributes would be beneficial, they are not essential:
- Experience of producing confidential correspondence.
- Experience of working with colleagues and stakeholder to a very senior level
- Experience of managing electronic diaries.
- Experience of delivering a wide range of administrative tasks in a busy, visible environment.
- Proven ability to work sensitively and confidentially.
- Experience of building and maintaining positive and productive working relationships with a wide range of colleagues.
Special Circumstances:
- Work outside office hours on occasions to complete urgent tasks or attend events.
- Travel for meetings and training
