About the Opportunity
The Executive Admin Assistant will be responsible for providing administrational support across a high-level framework ensuring efficient administration and delivery of key activities. Key responsibilities include:
- Providing administration assistance to include optimum diary co-ordination and travel for Operations Director and Team.
- Administration of operations business rhythm / diary planning (e.g., issuing out calendar invitations for monthly reviews / workshops etc.) and associated documentation.
- Engaging with relevant operations staff to ensure that all actions are completed to set plan (this includes chasing up for status updates).
- Printing, copying, meeting room & lunch booking, general administrational duties as required.
- Setting up monthly internal operations meetings / producing operations slide deck, coordinating responses and ensure slide deck is ready in time for meeting / capturing accurate PAR meeting minutes/actions & distributing.
- Input into how to improve business administration processes and procedures.
- Maintaining Workforce Planning.
- Ad hoc administrative requirements to meet the needs of the operations team.
Essential Qualifications & Experience:
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Advanced MS Office skills, especially Outlook, Word, PowerPoint, and Excel are required.
- Effective writing skills with the ability to proofread and edit others’ work.
- Experience managing highly confidential information with discretion and sensitivity.
- Proven experience identifying and analysing problems with the ability to make recommendations for solving these challenges.
- Experience responding to shifting demands and changing priorities in a fast-paced environment.
- Experience thriving in a team environment, collaborating with people at all levels of the organization and across departments.
