Job title: Exams Administrator
Job purpose:
- To coordinate and delivery scheduling and pre-test preparation processes for all (non-IELTS) MTS exams, which includes exam types such as Life in the UK, LanguageCert SELT, PearsonVue, AAT, ACCA On Demand, Aptis, TOLES, PTPI, and other partner exams.
- To gather and analyse available data of MTS invigilators and use this data to ensure test day scheduling is accurate, as well as optimised and cost-effective in terms of staff-to-test-taker ratios.
- To support the HR function to recruit, train and communicate with exam day staff, maintaining accurate, complete, and up-to-date staffing records.
- To invigilate and audit London-based exams, and on occasions travel to other MTS venues to invigilate, audit, or help set up new exams.
- To coordinate relevant post-test activities for the exams that require such tasks, e.g. issuing results.
- To liaise with exam board partners for all requirements relevant to each exam board or exam product and work efficiently and effectively with a range of systems to ensure the smooth running of MTS exams.
- To carry out additional exam administration and customer care tasks and activities according to MTS business needs.
Main responsibilities:
- To help coordinate the scheduling of all invigilators, examiners, and other test staff for all MTS’s test days.
- To capture availability data and match this to test day requirements, working to ensure optimized staffing levels that balance cost-effectiveness with compliance levels.
- To support the HR function in capturing accurate data about which staff is trained in which exam products and maintain complete and accurate records.
- To work with the HR function to recruit, onboard, train and communicate with exam day staff, understanding all elements of the onboarding process including background checks, clearances, etc.
- To work towards ensuring MTS has a high-performing pool of exam day staff, supporting the Senior Exams Manager to performance-manage the local exam day staff.
Test Preparation
- To support in assessing, approving and onboarding new test venues in line with exam board requirements and specifications.
- To ensure accurate and compliant management of materials and equipment so that they are managed in a manner that preserves the security and integrity of all tests, including arranging incoming and outgoing deliveries and couriers and ordering of test materials and equipment on relevant systems.
- To support regular stock audits and coordinate stock control of relevant test materials, equipment, and stationery.
- To ensure confidential materials and equipment are kept under correct access control, being accountable to the Exams Manager for all activity and access to the safes, lockers, and safe rooms.
- To process test-taker applications or bookings and add exam dates on all relevant exam systems, working always towards full completeness and accuracy of the information, and demonstrating excellence within the team in this.
- To process financial data for test payments using the correct systems, where financial information is involved.
- To ensure test-takers requiring Special Requirements (SR) (eg disability) are correctly accommodated in line with agreed policies for relevant exam boards and to understand the venue set-ups to be able to agree on any Special Requirement requests.
Test venue liaison
- To work to the Senior Exams Administrator, Exams Managers, Facilities Manager, and local venue staff to ensure that suitable examination rooms are booked with the correct advance notice and that all necessary test preparation has been undertaken.
- To maintain regular dialogue and contact with test venue staff to ensure an up-to-date awareness of the capacity, layout, configuration, and other features of all the MTS test venues, in order to ensure the exams admin processes support variations in local test delivery.
- To manage and update all test day documents used in test venues (eg seating plan templates, attendance registers, etc) for local staff to use for on-the-day tests, adding new templates or updating documents when new venues come on board.
Team working and reporting
- To ensure regular and very frequent liaison with other colleagues, in particular the IELTS team members, to ensure joined-up processes with no duplication of effort or gaps.
- To provide effective reporting to the Senior Exams Administrator and Exams Manager on operations in their own responsibilities.
Invigilation and auditing
- To invigilate exam sessions happening at MTS’s London venue.
- To occasionally invigilate at MTS’s other venues or help set up new exams in other venues.
- To audit exam delivery sessions, working in collaboration with the Exams Compliance & Improvement Officer
- To implement audit findings and share learning from audit outcomes.
Post-test activities
- To coordinate relevant post-test activities for the exams that require such tasks.
- To support incident reporting, resolving complaints, and escalating where appropriate.
- These post-test activities could include issuing results, carrying out post-test evaluations, capturing customer case studies or testimonials, supporting cross-selling or marketing activities, and reporting data for management.
Other
- To ensure that confidential documents, information, and data are not disclosed to anyone other than their intended recipient/reader.
- To comply fully with MTS’s GDPR and data protection policies and standards and Safeguarding (Children and Vulnerable People) policy.
- To support audits of exam venues, and occasionally support mystery shopping interventions at venues.
- To respond to general enquiries about MTS’s exam portfolio and exam specifications.
- To carry out any other tasks and activities for MTS, according to business priority, as appropriate for this level role in the organization.

Skills, knowledge, and experience required:
- Must have long-term eligibility to live and work in the UK.
- Must comply with the UK government’s Home Office background checks and clearance process, which includes disclosing personal details and providing documentary evidence of living in the UK for 5 continuous years and working in the UK for 3 continuous years.
- 1 years’ experience in an office administration role.
- Confidence in dealing with a large network of contracted part-time exam staff.
- Excellent organizational skills and attention to detail.
- Good communication and interpersonal skills.
- Ability to work effectively under my own initiative and under pressure.
- Experience in handling and managing high-security documents and materials.
- Experience in invigilation of high-stakes exams.
- Understanding of the testing, examination, teaching, and education sectors.
- Fully IT literate and very comfortable with up-to-date technical solutions, databases, and other IT products and services.
