Fuse is looking for an enthusiastic, motivated & hard-working Events Intern to join the Major Events team. Reporting into an Event Director, the purpose of the role is to support the smooth and timely planning and delivery of three large-scale events to support the delivery of PepsiCo’s UEFA Champions League Final sponsor guest programme.

The UEFA Champions League is Europe’s most prestigious club football competition and the biggest annual sporting event globally, in terms of awareness, popularity and audience. The competition runs from mid-July until the beginning of June and culminates with the annual Final, one of the most watched sporting events worldwide. Istanbul’s Ataturk Olympic Stadium will host the UEFA Champions League Final in 2023.

Fuse are responsible for the delivery of a 3-day / 2-night Guest Programme for 1000+ PepsiCo guests. As well as the delivery of end-to-end Guest Programmes, we take responsibility for three high profile events within the programme – a Friday welcome event, a Saturday morning business event and pre-match hospitality.

Key responsibilities will include (but not limited to) –

PRE-EVENT PLANNING

Offering administrative support to the Event Director to ensure the smooth planning and delivery of the three events
Establishing and maintaining strong working relationships with key clients and stakeholders as required
Supporting in the creation and management of key project documents including meeting agendas / minutes, project plan (MS Project) and client status documents
Creation and updating of client presentations (MS PowerPoint) and preparation of other client documents, as necessary
Supervision of project finance queries including management of supplier purchase orders, payment terms and VAT handling
Assisting the Branding & Logistics Manager with the development, production and delivery of all event specific branding as required
Plan (itineraries, transport & accommodation) client meetings, host city recces, or UEFA meetings, and attend, as and when necessary
Support other Fuse workstreams with accreditation and stadium crew catering requirements for all agency / production staff working within the UEFA hospitality environments

ON-SITE EVENT DELIVERY

Onsite presence in Istanbul for up to 14 days (Tue 30 May – Mon 12 June 2023) to support the event preparation, load in and out, in line with all agreed deadlines and UEFA requirements
General operational on-site support to the Events Team, across the planned Guest Programme events and activities in Istanbul
Providing support to workstream teams, assisting with other ad hoc projects and events as requested by the Project Director

SKILLS ACQUIRED

Time management and deadline tracking
Logistical planning and supplier relationship development
Teamwork and communication skills, within the Events Team and with clients
Event specific planning, preparation, and implementation
On-site event management
Production scheduling, on-site install and post event de-rig
Event specific hospitality and production language
F&B panning and on-site delivery
Exposure to financial planning, H&S measures, and guest management
Implememtation of partnership sponsor activations (UCL Final x PepsiCo)
