The Team
The Calico Club is a community for devotees of art, interiors, design and food. Created by the people behind House & Garden, The Calico Club brings the magazine to life, offering privileged access to the people and places we feature on our pages. Members enjoy considered, intelligent and lively events that promise thoughtful conversations, glimpses behind closed doors. Now in its 5th year, The Calico Club is looking for someone to support the Curator to bring new projects and events to the House & Garden audience.
The Role
We are looking for an Events and Membership Assistant to perform a variety of administrative tasks and support The Calico Club’s Curator. This role’s responsibilities include managing calendars, making travel arrangements and preparing expense reports as well as looking after the management of events, and building strong relationships with our members. To be successful in this role, you should be well-organised, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency and organisation of our events programme by providing personalised and timely support. This is a varied position, requiring initiative, adaptability, and an entrepreneurial spirit.
Strong interpersonal skills and relationship management skills are essential. Exceptional organisational skills and a keen eye for detail are a must, along with a can-do attitude, willingness to learn and calm/level headed manner.
What will you be doing?
Managing the organisation and delivery of projects and events through the event calendar
Act as the point of contact among executives, employees, clients and other external partners
Support the curator with the management of The Calico Club social media outlets
Nurturing member relationships and overseeing new membership acquisition
Administrative duties, including but not limited to internal meeting management, freelance staffing, managing invoices and tracking budgets, vetting and liaising with vendors, booking photographers and other event-related resources.
Manage information flow in a timely and accurate manner
Manage calendars and set up meetings
Make travel and accommodation arrangements
Rack weekly expenses and membership reports
Prepare weekly, monthly or quarterly reports for the editor of House & Garden.
Format information for internal and external communication – memos, emails, presentations, reports, etc.
Screen and direct phone calls and distribute correspondence
Expected to work evenings a few times a month and very occasionally weekends depending on event needs.
Who you are:
Experience as an Executive Assistant, Personal Assistant or similar role
Outstanding organisational skills and ability to multitask
Excellent verbal and written communications skills
An eye for detail
Collaborative and self-motivated, and ability to take initiative
Adaptable and a quick learner
Logical and methodical approach to work and first-class organisational skills
Experience working in a busy and fast-paced environment
Knowledge of softwares and applications (such as stripe, mailchimp, planoly, eventbrite, google docs/sheets) a plus
An interest or knowledge of design, interiors, arts and culture
Strong work ethic and inquisitive approach
Experience with digital and social media channels
You will have knowledge of the design industry in accordance with the House & Garden brand and be able to represent the brand at The Calico Club’s events
Where will you be?
We encourage hybrid working but when you are in the office, this role will be primarily based in our iconic Vogue House building, situated in the heart of Mayfair. This is where our award-winning Editorial and Content teams sit.
