The Role

We are seeking a talented Marketing & Events Coordinator to help develop and deliver our marketing and events programme. This will include internally facing (to motivate and engage our employees) and externally facing (to help grow our business in line with our marketing strategy). We also deliver events on behalf of clients to help them achieve their communications objectives.

This role would sit within our Marketing and Business Development team, and the candidate would be expected to work across our business, including with senior staff and our Operations team. It is a fast-paced, high output role, working with multiple internal stakeholders to ensure we deliver an impact for the business.

The Marketing & Events Coordinator is a junior position, reporting into our Senior Marketing & Events Executive.

The position would be well-suited to a candidate early in their career, and ideally with experience in a B2B marketing/ events role, who is keen to work in a fast-paced organisation and would like to help shape and develop the marketing and events they deliver.

Key responsibilities

  • Attending regular meetings with client teams to discuss marketing and events activity,
  • Working closely with internal stakeholders to ensure event design, guestlist and delivery reflects the business’s goals,
  • Working with the wider marketing and events team to ensure planned activities are aligned with Portland’s marketing plan,
  • Proposing creative and impactful ways of designing and executing events, in line with our brand,
  • Supporting with all aspects of event delivery, including scouting locations and building strong vendor relationships,
  • Undertaking administrative duties, including managing guestlists in our CRM system, managing invoicing and purchase orders,
  • Collaborating with the creative team to create event and marketing assets, such as infographics, social content or thought leadership publications,
  • Provide colleagues with regular attendance updates for Portland and client events, and manage inbound RSVPs and event-related correspondence to the team inbox,
  • Attend and support with the delivery of client events on the ground,
  • Collating and analysing feedback after events,
  • Work with teams to segment and build targeted contact lists to identify key contacts for marketing campaigns,
  • Delivery of email marketing campaigns, including writing copy, design and scheduling,
  • Publish content across all Portland channels (website, social media channels), coordinating with colleagues to avoid overlap and duplication,
  • Undertake day-to-day management of CRM (Salesforce) data, assisting colleagues with queries from internal teams,
  • Monitoring industry trends and reporting them to the wider team, conducting ad-hoc research as necessary and attending relevant industry events where appropriate,
  • Support senior colleagues with the delivery of major projects and events, leading on appropriate tasks or event elements as instructed,
  • Liaising and managing relationships with key stakeholders and suppliers,
  • Ability to flex/ cover across other marketing and events roles,
  • All other duties reasonably expected.

Person specification

  • Experienced in using Microsoft Office Suite and is comfortable using Excel
  • Ability to build great relationships with vendors/ suppliers,
  • Brilliant communication skills,
  • Event delivery experience – preferred,
  • B2B marketing experience – preferred,
  • CRM management experience – preferred,
  • Email marketing software – preferred,
  • Unflappable, remaining calm and composed under pressure,
  • Ability to manage multiple projects and deadlines,
  • Great team player and collaborative,
  • Ability to propose new ideas and think creatively,
  • Comfortable working within a wider marketing strategy and reflecting that in marketing and event programme,
  • Approachable and personable.
