Post Title: Events Administrator (Exams, Awards and Graduation)

FTE: 1FTE (working 37 hours per week)
Duration of Contract: Permanent
Salary: UH5 £25,642 pa with potential to progress to £28,762 pa by annual increments on achieving designated skills and experience
Location: Bishops Square, Hatfield, University of Hertfordshire
Main duties and responsibilities
The postholder will be required to support all aspects of the administration for the University Examinations and Graduation Ceremonies, be the key contact for events, ensure excellent working relationships with internal and external suppliers, and take a pro-active role in planning and preparing for events.
You will provide a high standard of customer service, acquire an understanding of the University’s Policies and Regulations, maintain effective filing, storage and archiving regarding audit requirements. You will assist at key University events throughout the year, be aware of the need for continuous improvement of procedures and systems, advise University staff regarding policies and procedures and some specific roles may require moving, lifting and setting up equipment.
You will adhere to compliance with legal and regulatory requirements, health and safety, data protection, copyright and licensing, security, financial and other University procedures and codes of conduct, where appropriate. You will be accountable for the accuracy of the data entered into the student record system.
The postholder will be required to use specialist software systems, assist with the management of the University’s Graduation Ceremonies and Examinations, assist with the relevant stages of the pass list and certification processes, supervise the employment of casual staff members to assist with graduation, co-ordinate the administration required to support the large-scale graduations twice a year and numerous exam periods.
You will be a key contact for ceremonies on the day, assist with the detailed preparations needed for the University’s formal examinations, resolve matters that occur during the exams, support on the graduation specific website, email boxes, data requests, communicate with graduates, students and third parties in a professional and timely manner.
Skill and experience required
You will have appropriate proven administrative experience in a complex and dynamic organisation. Experience within HE administration would be advantageous.
You will need to bring a willingness to be flexible in time and in workload to support effective team working and to facilitate seamless customer service to our students, graduates and external contacts. The role requires accuracy, attention to detail, and you will have excellent communication skills in working effectively with key individuals internally and externally. You will also have good organisational and IT skills, and the ability to use initiative in delivering to deadlines.
Qualifications required
You will hold A-levels or equivalent or proven professional work experience.
