The Role / Position Overview
The heartbeat of FT Live is our strong portfolio of event products and our ability to access, convene and engage the highest quality delegates and speakers. The Event Project Manager will work to support the PM team within the Partner Events team, this team is dedicated to creating and delivering high level bespoke events for clients. The role will involve project managing small and mid-size partnership campaigns - from the seed of idea to delivering tailored events that help a client connect with FT audiences.
The Event Project Manager will have 3 years of experience working in a similar role. This position is responsible for delivering premium customer service to a client from brief to debrief, keeping the project to time is vital, and relies on effective project management of internal teams. The role requires a core understanding of the processes involved in delivering events, comprehending which audience the client is trying to reach and knowing how best to engage them. The focus is on delivering results and contracted KPIs for an event and keeping the client fully informed at all times.
This is a hands-on role that will require initiative and creative problem solving, and will be jointly accountable with the assigned Marketing Manager for ensuring that we consistently secure high-value delegates and deliver on targets.
Outcomes
Success in this role will be defined by the ability to build and maintain strong, long-lasting customer relationships, whilst delivering partnership projects to time and in an organised manner. The role will act as a main conduit between client and the FT Live internal teams, it involves managing often conflicting priorities and effective communication is key. Customer retention will be a key metric for success so detailed reporting and project analysis is essential.
Key Responsibilities
This role reports into the Head of Project Management, your main responsibility is to embed into a project from the initial client brief, taking responsibility for correctly onboarding the client, assessing feasibility and making changes where necessary to the project plan to ensure success. Creating a detailed timeline for use on each project, taking into account internal process times and knowledge gathered from other internal teams. You will be responsible for bringing the project teams together and ensuring that the client is kept regularly informed on project status.
This work will include:
Meeting with internal stakeholders to take detailed briefs on the project before the client is onboarded - reviewing client contracts and project feasibility.
Completing initial project processes such as due diligence on dates and resource and initial data checks.
Assessing budgets, teams and resources to ensure the project can be delivered to meet client KPIs and on time.
Carry out planning - this will include setting goals and objectives, defining roles and producing schedules and timelines for tasks - in accordance with the needs of your client. Communicating verbal and visual plans for clients to engage with.
Meet with clients to understand their objectives, set KPIs and communicate with whole team.
Lead and motivate your project team from both internal and external stakeholder organisations
Managing the client at all times - first point of contact for any project issues. Appropriate troubleshooting when problems arise.
Carry out monitoring and control activities in order to track the progress of the project. Track project performance, specifically to analyse the successful completion of short and long-term goals
Full responsibility for ensuring the project meets budgetary objectives and making adjustments to project constraints based on financial analysis.
Identify and manage risks to ensure delivery is on time.
Report regularly to management and the client.
Create and maintain comprehensive project documentation. Managing admin across the projects, dealing with sign off, budgets and compiling post event reporting - including evaluating successes and challenges to enhance learning for your next project.
Identifying and monitoring competitor events and alternative ways the marketplace will accumulate information, market knowledge, and commercial relationships.
Attend conferences and training as required to maintain proficiency.
Required Skills / Experience
Prior experience in B2B account or project management (particularly in events)
