Position Summary:
This position functions under the general guidance and direction of The VP of Events and Special Projects and will be responsible for assisting with executing the logistics and setups of University events
Position Responsibilities:
- Assist with the planning and coordination of University related events and assignments.
- Work with departments as well as vendors to ensure a successful event by providing full service logistical planning for events of all size and scope.
- Responsible for event operations, logistics, production, and execution of events.
- Oversee emails to [email protected] and field questions.
- Coordinate event timelines and schedules
- Oversee event activities including event setup and breakdown.
- Coordinate audiovisual, and production set up.
- Troubleshoot operational issues on behalf of the department as it relates to events.
- Develop, maintain, and continually strive to strengthen relationships with administrators, faculty, and vendors as it pertains to University events.
- Assist with Coordinating outside rentals for personal events on campus.
- Serve as Event Manager when necessary.
- Maintain and update 25LIVE with event set up details, promotional descriptions for University event calendars and assists with event scheduling in 25LIVE when needed.
- Serves on the Committee for Ceremonial Occasions (COCO) and assists with organizing and coordinating Academic Attire in advance of the ceremonies as well as on site support.
- Works with departments to make various and multiple room and setup changes to scheduled events.
- Answers phones and fields questions regarding events and events calendar.
- Performs administrative and office support activities. Duties may include but not limited to, billing, upkeep Project Tracking, project file maintenance, archiving and receiving and directing visitors and filing.
- Assists with maintaining the University Events calendar, University Poster Slots.
- Performs other related duties as assigned.
Experience & Educational Background:
- Bachelor's degree required.
- Degree in communication, marketing, public relations, or specific to special events is preferred.
- Minimum of 1-2 years of event planning experience within higher education, conference or event planning, and/or in facility management.
Skills & Competencies:
- Proven ability to plan, initiate, and manage challenging logistical situations.
- Must be able to work independently, taking initiative and be able to ascertain priorities in a dynamic environment of regular interruptions, multiple projects, and deadlines.
- A commitment to quality, client-oriented service
- Must be friendly and personable.
- Working knowledge of computers.
- Strong organizational and prioritization skills.
- The ability to handle unexpected crisis or deadlines.
- Tact and discretion in maintaining confidentiality in dealings with campus administrators.
- Ability to communicate effectively verbally and in writing.
- Ability to be a proactive thinker and work independently as well as in a team.
- Skillful in dealing with the public, vendors, and friends of the university.
- A mature, positive attitude; a team player.
- Knowledge of 25LIVE scheduling software a plus.
Salary Range:
$25 - $26.50 per hour
