Energy Administrator

Post title: Energy Administrator

Salary: £22,113 - £24,543 depending on experience

Hours: 0.4 FTE (15 hours a week, with one ‘anchor day’ and other hours worked
flexibly through the week)

Location: Based at South Hams, with possible travel across the South Hams and home
working option

Report to: Energy Team Leader

Contract: Fixed Term to 31st March 2024 with continuation funding expected; 4%
pension contribution, 20 days annual leave + bank holidays (pro rata) + 3
discretionary days at Christmas

Citizens Advice South Hams are pleased to be recruiting a new administrative role to support our expanding energy advice team. We are looking for an organised, pragmatic individual with a good eye for detail and an interest in alleviating the detrimental effects of fuel poverty on peoples' lives.

Working 15 hours/week with an ‘anchor day’ and other hours flexibly across the week, the energy administrator will arrange community outreach events, issue fuel vouchers and keep abreast of developments in the energy markets to share with the team. The work is varied and interesting and full training can be given for the right candidate. The role would suit someone with a customer service or PA background who is target driven and willing to learn new skills. Energy Administrator Job Description

Purpose: to support the energy team in the provision of advice and to arrange community events thereby allowing us to build relationships with our community partners further enabling more clients to access our service.

Community outreach

  • Maintain existing relationships with community partners who reach disadvantaged and underrepresented groups in our community, arranging a series of community events and presentations which generate referrals for energy advice.
  • Coordinate attendance of energy advisers at events and/or attend in person as required, providing a friendly and approachable way for members of the public to seek support.
  • Take the lead on researching and finding local organisations and events which further our aim of reaching hard to reach cohorts.
  • Liaise with the Communications Officer to ensure events are appropriately resourced and advertised.
  • Maintain a stock of outreach materials, overseeing stock levels and issuing to colleagues.
  • Ensure all funded related targets are met, monitoring and tracking progress over time and keeping the team leader updated.
  • Keep track of which energy events are the most productive and provide meaningful referrals vs volume of clients seen and include learnings in future events.

Administrative support

  • Issue fuel vouchers to clients who have demonstrated reasonable need, checking information against relevant databases to prevent fraud.
  • Make and oversee applications to trust funds to provide financial support to clients as directed by the team leader, liaising with energy advisers.
  • Ensure a smooth client journey by chasing outstanding paperwork/reports in existing cases as directed.
  • Keep good use of Casebook CRM (customer relationship management) database to make accurate records of client interactions and notify relevant people of updates to cases.

Energy news

  • Keep abreast energy news and update the energy team with any items that may be relevant from trusted media and government sources.

Research and campaigns

  • Assist with research and campaigns work by producing evidence forms.
  • Alert the office of local and national issues.

Professional development

  • Keep up to date with legislation, policies and procedures relating to fuel poverty.
  • Complete relevant national Citizens Advice training as required.

Other duties and responsibilities

  • Abide by health and safety guidelines and share responsibility for your own safety and that of colleagues.
  • Support the core reception team and other areas of service delivery as directed.

Energy Administrator Person Specification

  • Able to demonstrate a good understanding of the aims, values and principles of Citizens Advice, including our equity, diversity and inclusion goals.
  • A good understanding of the impact of fuel poverty on people’s lives and an interest in helping alleviate fuel poverty to enhance and empower people’s lives.
  • Ability to prioritise own work, meet deadlines and manage own load, working effectively both independently and as part of a team.
  • Ability to demonstrate excellent organisational skills and a tenacity to see matters through to a successful conclusion.
  • Has a friendly and approachable outlook with a strong record of building internal and external relationships with colleagues and community organisations.
  • Has an ordered and systematic approach with the ability to follow agreed procedures. Can identify systems improvements and can raise suggestions with relevant people.
  • Excellent IT skills and knowledge. Can use a range of software to ensure accurate recording keeping, check data and records and produce regular reports/updates.
  • Ability to give and receive feedback objectively and sensitively and a willingness to challenge constructively.
  • The ability to work from home in a suitable environment to ensure client confidentiality.
  • Possession of a full driving licence and use of a car, or otherwise able to fulfil the travel requirements of the post.
  • Takes a learning approach, can analyse successes and challenges and learn from them in a way that helps the organisation better reach its goals.
