Freedom Professional Services are currently recruiting for a Document Controller to join our team, you will be based in our Stowmarket Office, this is a Hybrid role with Office and home working available.
You will provide a professional and high quality document management service; being accountable for controlling the receipt, management and transfer of all information on a project/projects..
Responsibilities
You will:
- Controlling company and project documentation
- Following and improving document control procedures
- Ensuring all documentation meets formal requirements and required standards of NG Bailey and Freedom
- Ensuring all documentation meets client requirements.
- Sorting, storing and retrieving electronic and hard copy documents on behalf of clients and engineers, designers and managers
- Producing document progress reports for senior managers
- Conducting regular reviews and document audits
- Using client document control platforms to organise and distribute documents to the client
- Using company document control platforms to organise and distribute documents to design teams, archiving information where appropriate
- Ensuring the design check, review and approvals process is strictly adhered to and all documents and drawings are controlled as such.
- Helping in the planning stages of a specific project
- Ensure documents are shared at key times to facilitate timely project completion
- Working in an office and/or client office as required Creating document templates
- Converting information from project teams into user-friendly documents
- Numbering and labelling documents for identification and reference
- Scanning, copying and distributing documents to project team members and stakeholders
- Tracking documents to maintain confidentiality
- Reviewing documents and making revisions for accuracy
- Liaising with project team members to ensure documents meet requirements
You will have:
- Ability to think logically in sequential steps - Essential
- Ability to follow, enforce, create and improve procedures relating to document control - Essential
- Highly organised with ability to organise data/information into structured containers - Essential
- Experience as office administrator - Essential
- Engineering project experience - Desirable
- Familiar with engineering design – civil and electrical - Desirable
