Job summary
DCMS is looking for a proactive Band C to fill an Executive Assistant (EA) and Business Support role in the Arts, Heritage and Tourism Directorate (AHT). The post will support AHT’s job-share Director partnership, Nicola Hewer and Emma Squire.
This role offers a great opportunity to work at the heart of DCMS’ leadership team and support their policy and project portfolio. The AHT Director’s cover a wide and exciting portfolio spanning 7 teams. The teams are:
- Arts & Libraries
- Museums and Cultural Property
- Tourism and Cultural Diplomacy
- Heritage & City of Culture
- Government Art Collection
- Covid-19 Programmes Team & CSCS Strategy

AHT Director’s are senior officials within DCMS so work closely with fellow Directors, Director Generals, the DCMS Permanent Secretary and the Ministerial team.
Job description
- Diary and inbox management including prioritisation of appointments, arranging meetings & travel, booking rooms, taking minutes, arranging hospitality;
- You will be proactive in diary management, have a good understanding of what’s important, use judgement ensuring meetings happen at the right time engaging with other offices to deliver.
- Responsible for supporting the Directors as directed to ensure their time is well managed. Responsible for flagging anything urgent to the Directors to ensure they can respond in a timely manner and by given deadlines, and forwarding to relevant members of the team for action or information.
- Organise the right papers and obtain briefings ahead of meetings and other engagements.
- Building strong working relationships with key internal contacts and external stakeholders;
- Being a key part of the business support team and taking on team support or other corporate responsibilities, in particular In-Year Rewards.
- Working closely with the EAs across the Directorate to ensure there is appropriate cover, in good time, for any boards and committees that the Directors can not attend and ensuring Deputy Director cover for any periods of Directors’ annual leave;
- Diary and telephone cover for absent EAs during periods of team absence

The ideal candidate would have the following key skills and experience:

- You will be adept at reacting quickly to emerging issues.
- Poise and judgement to ensure meetings happen at the right time
- Excellent organisational and administration skills with a close eye for detail
- Proactive and positive attitude to getting the job done
- Strong team player
- Confident working among senior management and handling potentially sensitive information
Desirable Skills:
- An interest in any of the arts, heritage, tourism and museum sectors
- An interest and understanding in how Government works
- Familiarity with IT systems, such as Google Drive
- Familiarity with Google workspaces e.g. Google Meet, Google Docs

A reserve list may be held for a period of 6 months from which further appointments can be made.
