Job summary
DBS through its Armed Forces and Veterans Services organisations supports the delivery of services to the circa 200,000 Armed Forces personnel on operations, overseas and in their home bases and to over one million Veterans’ and their dependants. A substantial proportion of these services are delivered through a large outsourced contract. A new competitively awarded contract, referred to as the Service Delivery Contract, commenced on 1 Jun 20.
The Contract Management Office (CMO) is a function that contributes to the successful management of the contract and supports the commercial relationship with the SDC Contractor.
The role provides detailed Contract Management and Contract Incident monitoring support to the CMO Team.
Job description
Provision of administrative support to DBS Service Delivery Contract CMO. Key responsibilities include:
Facilitate the update of the Service Requirement Document (SRD) by
- Supporting Business SMEs across AF&Vs to ensure the SRD is aligned with the business as it disaggregates the services and support functionality
- Assisting in the processing of Requirements changes resulting from SRD review.
Support the CMO by:
- Preparing draft reports, documents and correspondence
- Developing and managing the CMO Sharepoint site, maintaining Document Control and Configuration Management.
- Acting as Secretary at CMO lead meeting, facilitating the meetings, taking minutes and actions.
- Reviewing and monitoring Authority Responsibilities reporting outcomes to the Contract Owners Board (Authority Only).
Annually reviewing and monitoring with business Subject Matter Experts the SDC Contract Obligations and reporting outcomes to the Contract Owners Board (Authority Only).
- Managing the SDC Contract Incident Forms by:
- Daily monitoring and acknowledgement of submissions.
- Triaging new submissions with appropriate SMEs.
- Tracking and following up on outstanding responses.
- Identifying and reporting trends to CMO TL.
Collating data sets to populate the SDC and DBS Executive Dashboards monthly. Working collaboratively with the DBS Knowledge and Information team to ensure Data is uploaded on time.
This position is advertised at 37 hours per week.
Person specification
Essential:
- MS Office proficiencies in particular: MS Word, Excel and Powerpoint.
- Demonstrable experience of providing secrtariat services; in particular, preparing board documentation, minute taking and facilitation of meetings.
Desirable:
- Project Management
- Commercial experience
- Previous experience of working in an outsourced contract environment
