About the role

Customer Service Coordinator answers customer calls, processes order’s and provides help & information to customer queries. The target is to ensure excellent service standards and maintain high customer satisfaction. Working closely with internal departments such as the Customer Services Manager to ensure that the function is always appropriately to ensure continuity of Customer Service to the business.

Key Responsibilities

  • Manage incoming telephoning calls, answering customer queries and transferring calls to relevant parts of the business.
  • Handle customer queries in a professional manner & ensure timely resolution by phone or email within the set Service Level Agreement (SLA).
  • Process data accurately in a timely manner ensuring that process and procedures are followed.
  • Maintain information on internal systems.
  • Provide support to all Import & Export customer service team as required
  • Sales order processing
  • Sale order acknowledgement
  • Management of customer file, customer record and customer enquiries in line with GDPR rules and regulations.
  • Invoicing - interface with finance
  • Remittance and invoice reconciliation – interface with finance
  • Arranging shipping (delivery) – interfacing with Operations
  • Open and maintain customer accounts.
  • Resolve product problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.
  • Build sustainable relationships with customers and internal departments through open and interactive communication.
  • Keep records of customer interactions, process customer accounts and file documents.
  • Follow communication procedures, guidelines and policies.
  • Go the extra mile to engage customers.
  • Assist with placement of orders, refunds, or exchanges.
  • Handle questions about warranties or terms of sale.
  • Support the Credit Control function in time of absence.

What we are looking for

  • Proven customer support experience.
  • Strong phone contact handling skills and active listening.
  • Familiar with CRM and ERP systems and practices.
  • Customer orientation and ability to adapt/respond to different requests and conversations.
  • Ability to multi-task, prioritize and manage time effectively.
  • Demonstrate effectiveness when under pressure.
  • Able to work to deadlines.
  • Speed, accuracy and attention to detail.
  • Understanding of data protection laws.

  • Needs to be flexible regarding all aspects of your job role and give your full support to all new systems / ideas that are implemented within the company.
  • To undertake any other duties which may be required, and which are commensurate with the post’s position within the company.
  • To ensure compliance with and adherence to all Creo Medical policies, procedures and expected standards, including, but not limited to aspects surrounding Quality, Regulatory and Environmental, Health and Safety.
  • Must have unrestricted right to work in the UK.
