The Vaccine Taskforce became the UKHSA Vaccine Unit on 1 October, continuing to ensure the best possible vaccines are available for the UK Population, whenever they are needed to fight what remains a fast evolving, deadly virus. Vaccines remain the key to the UK living with COVID, delivered through the high quality and high impact outcomes of this unit. A mission we are proud of.

Our approach is to ‘deliver together’ across the multi-disciplinary ‘rainbow’ team (project delivery, commercial, logistics modellers, scientists, clinical, coms….) in an inclusive structure where every voice is heard and people really grow. We also work closely with all our suppliers in this new, fast evolving market, academia (research is fundamental), and with colleagues right across HMG.

We are looking for Project Support Officers to join the following teams:

  • Supply Management Team – Supplier 1

  • Technical Support Team – Policy Studies / Assays
  • Programme Management Office – Planning and Dependencies

Job description

We are looking for a Project Delivery Professionals with experience in:

  • Risk Management - Manage potential risk areas, updating the risk tool, working with the wider team and stakeholders, escalating as appropriate
  • Stakeholder Management - Confident in engaging with of working with a wide array of stakeholders including academics and industry experts. Strong stakeholder management skills, ensuring effective communication with key project stakeholders and senior Sponsors / SRO.
  • Good background knowledge on Vaccine development, and an understanding of vaccine deployment. Able to quickly digest complex scientific and technical information and ask the right questions.
  • Experience of Building Capability - using your project delivery experience and knowledge to provide delivery guidance and support to colleagues.
  • Planning and Scheduling – implementing and managing appropriate systems to enable effective planning of a project or programme.
  • Governance - Supporting governance boards and forums on behalf of the project. Provide highlight reports and support effective governance and decision making.
  • Project Performance & Controls – Building project plans and applying appropriate project principles to deliver stated objectives. Tracking and report delivery against milestones.

  • Accountable to Project Manager (PM)/Lead for maintaining high quality and detailed project records and meeting logs/audit trails are kept up to date for relationship planning, discussion, delivery agreement and performance improvement commitments. Ensuring high-pace delivery as an effective and efficient customer
  • Responsible for organising meetings and events required for regular and adhoc collaboration amongst internal Vaccine Unit stakeholders, with suppliers and when needed other external stakeholders. contributing to successful project delivery
  • Supporting the identification of risks, issues, threats and opportunities to team delivery and working at pace. Collaboratively engaging and working with organisations risk management team to contribute to monitoring, evaluating, managing and reporting on issues and risks as appropriate
  • Supporting PM/Lead to build and nurture professional relationships across the organisation, liaising directly to bring together information and knowledge as required. This includes responsibility for project knowledge management, covering maintenance of project information logs and updates to controls and metrics with inputs from supporting other functions and preparing performance reports, supporting production of briefs and engagement to senior colleagues
  • Supporting the full-spectrum of Vaccine Directorate internal and external governance. Act as a daily initial point of contract for project governance and reporting, change control and audit requirements. Ensure the ‘right’ information is shared in the most effective and efficient way across the directorate, and when needed into wider HMG engagements or externally
  • Risk and Issues - Responsible for identifying, monitoring and proactively managing supply risks and issues. Taking tangible action to ensure strategic and operational risks and issues are identified, prioritised, assessed, and appropriate mitigating actions developed, implemented and monitored throughout the life of the Project.

  • SC Clearance or willingness to undergo it
  • Be enthusiastic about operating in a fast-moving environment, where co-operation and adaptability are essential as well as the ability to deal with ambiguity and change.
