An exciting opportunity has arisen to join our small and friendly team at Cambridgeshire and Peterborough NHS Trust. We are looking for two enthusiastic and motivated individuals with excellent interpersonal skills to work as a Receptionist for our Headquarters and our Resource Centre.

The Receptionist offers a comprehensive service with a busy and often demanding environment so candidates will need to be confident and adaptable to change.

Duties will include: answering the telephone and transferring calls to various departments where appropriate. Welcoming Service Users, Carers, Professionals and Visitors to the site and dealing with enquiries on the phone or face to face. Checking ID's and handing out security alarms and keys for which training will be given.

Reporting maintenance and cleaning issues to the helpdesk and keeping accurate and up to date maintenance logs. You will also act as a Fire Warden and be responsible for keeping the Reception areas clean, tidy and organised. Other duties will include: dealing with any deliveries, as well as booking rooms. You will work closely with other members of the Reception Team to ensure a smooth and effective Reception service across both buildings.

1. Undertake a range of clerical and administrative duties including, filing, photocopying, word processing, scanning and uploading documments, ensuring the printer is stocked with paper, sorting of incoming and outgoing of post, assist with arranging meetings for the Executives, Board and Sub-Committees and Council of Governors. Assist with the Board and Governor Induction and development and help to produce a range of documents e.g. reports, spreadsheets, operating procedures and promotional material.
2. Ensure telephones are answered in a timely and helpful manner redirecting if necessary.
3. Ensuring good customer service by providing a professional and effective service by dealing with queries from service users, carers or staff in person or on the telephone, convey messages clearly and precisely and transfer calls as necessary while maintaining confidentiality at all times.
4. Assist with CEO/Chair meetings as and when required ensuring diary entries are clear with locations completed in full.
5. Assist with maintaining stocks and supplies, placing orders when necessary and use resources effectively, efficiently and economically. Have responsibility for the Petty Cash, ensuring that the Petty Cash is ‘topped up’ when necessary and that receipts are correct.
6. Provide reception cover at busy times and when the Receptionist is on leave ensuring a high-quality service at all times.
7. Support the issuing ID badges to staff members.
8. Ensure Databases are kept up to date.
9. Undertake administrative projects on behalf of the Corporate Office e.g. preparation of annual meeting and service visit schedules, collation of documents.
