REPORTS TO: Assistant Director of lnternational and Veteran Services
JOB STATUS: Non-exempt
POSITION SUMMARY: This is a full-time, non-exempt status position responsible for day-to-day functions in the Office of Academic Records, serving particularly as the primary contact for the Veterans Administration (VA) and all University veteran students.
JOB RESPONSIBILITIES:
- Administer specific student record operations, including VA certifications.
- Manage certifying and tracking VA students for various external agencies each semester.
- Create and maintain veteran students’ special attribute in the Banner student information system.
- Manage veteran student statistical reports.
- Report certifications for tuition and fees, enrollment dates, and term dates.
- Maintain relevant records on VA students’ changes in status or any reports of unsatisfactory progress.
- Monitor the subjects pursued by a VA student to certify to VA that those subjects properly apply to the student’s program.
- Keep the State Approving Agency (SAA) informed of new programs; changes in current programs, academic policies and procedures; and changes of address, phone numbers, or certifying officials.
- Communicate with the Office of Financial Aid regarding VA programs, tuition and fees, and problems and to submit billing to the VA.
- Maintain records of VA students and make the records available for SAA inspection.
- Maintain additional records required of a Yellow Ribbon School and certify in accordance with the University’s agreement; calculate and apply for Yellow Ribbon recognition.
- Work closely with the Director of Academic Records to develop veteran student process improvement, procedural documentation, communication to VA students seeking assistance with special benefit needs, and strategies to address academic performance issues.
- Communicate to Cashier’s office the names and chapters of all veteran students.
- Send Student Account Manager payments received from the VA to post on veterans’ accounts (e.g., Tuition and Fees and Yellow Ribbon).
- Communicate with University Book store ID numbers of veterans allowed to charge books.
- Assist with commencement.
- Answer inquiries and provide information by phone, through e-mail, or in-person from staff, faculty, and students.
- Perform other duties as assigned.
QUALIFICATIONS:
Associate’s degree required.
