Job Description
Overview
This position is responsible for the planning, coordination, and seamless execution of both virtual and in-person events for the Surgical Education team within the BD Surgery business. Strong organizational and communication skills with meticulous attention to detail are required, as well as shown strength with technology and event management applications.
Essential Duties and Position Responsibilities
Support logistics for virtual education events, including working with vendors to plan and implement events; creating promotional pieces; submitting approved event content for uploading to bd.com and other approved sites.
Support and implement in-person surgical education events by coordinating all event planning and communications, including but not limited to, attendee travel and accommodations, meals, promotional materials, attendee notifications, event documentation, course costs, honorariums, invoicing, and meeting card reconciliation.
Manage event budget and report monthly costs
Work effectively with other BU Surgical Educational team members and other business collaborators to ensure alignment.
Track and report program attendance, including monthly reporting, using MS Excel (Advanced).
Manage Medical/Legal/Regulatory (MLR) review of promotional materials and speaker presentations using the Veeva Vault Promo Mats application with proactive status tracking and following up when appropriate while collaborating closely with KOLs, MLR reviewers to move content through the routing pipeline in a timely manner.
Manage Surgical Education marketing collateral housed on ShowPad
Support process improvement initiatives to increase team efficiency and effectiveness (e.g. CVENT implementation and other initiatives as identified)
10-15% domestic travel expected
Qualifications:
Bachelor’s Degree preferred
2-3 years of combined experience in event planning and/or administrative support. Experience with digital event planning and analytics preferred but not required
Proficiency with MS Office Suite required (PowerPoint, Excel, Word, and Outlook). Sophisticated proficiency with MS Excel preferred (i.e. ability to work with Pivot tables, use VLOOKUP, and apply rules and filters)
Light design skills to apply templates for the creation of promotional pieces in Lucid-Press/Marq (or Adobe Creative Suite)
Experience with collaborative tools within the Microsoft environment preferred (e.g. MS Teams, SharePoint, OneDrive).
Strong professional communication skills (verbal and written)
Ability to learn quickly, manage time and prioritize a range of tasks.
Ability to work with others in a team environment.
Demonstrates strong desire for creativity, ownership, and accountability.
Strong attention to detail
