Job Description
We are looking for an exceptional Executive Assistant to come on board and support busy, dynamic Chief Operating Officer of music tech company based near Kings Cross. Reporting to the COO the EA is responsible for supporting the COO to ensure that company goals and objectives are accomplished and that operations run efficiently and effectively, in addition to they will be responsible for several operational administrative duties.
The successful candidate will have the opportunity to support further members of the C-Suite team in the future – there is room to grow and progress in this role! Ideal candidate will have worked in a similar role previously and have excellent organisation and communication skills. Friendly attitude with great interpersonal skills essential!
Please note hybrid is offered with this role.
Executive Assistance:
- Maintain a complex calendar and numerous competing priorities through a detailed understanding of the COO’s diary, including all meetings and meeting attendees
- Forward plan; anticipate requirements and proactively flag key upcoming meetings to ensure the COO is prepared
- Manage the coordination and logistics of both internal and external meetings and events
- Manage the COO’s inbox
- Capture tasks and actions, scheduling and documentation of tasks, and management of deadlines
- Enable effective communication across the C-Suite Executives, Management Team, and the wider business
- Management of all domestic and international travel for the COO, providing a detailed schedule in advance of each trip
- Process monthly expenses
- Support the Executive Assistant and Advisor to the CEO in the preparation of paperwork for Board meetings ensuring timely distribution
- Holiday cover for Executive Assistant to the CEO
- Undertake ad-hoc tasks as and when required
Personal scheduling:
- Liaise with family office and ensure smooth communications
- Undertake ad hoc personal errands as and when required
Operational Administration:
- Manage the recruitment process, post job ads, process applications, arrange interviews, verify and assist with the documentation and production of contracts
- Manage and carry out the onboarding and offboarding of employees
- Work closely with management to triage and resolve employee issues
- Manage the employee intranet, which contains our company policies
- Maintain employee record database and files
- Manage multiple employee benefiand renewals
- Oversee organisation and administration of annual employee appraisals, administration of our attendance and annual leave system
- Schedule group meetings, maintaining calendars, doing research, and creating reports
- Undertake other administrative tasks and duties as assigned by the Head of People
