We work nationally, providing our service to customers in the food retail, food processing and distribution, and non-food sectors including pharmaceuticals, manufacturing, and commercial and IT.
Role Purpose:
A fantastic opportunity has arisen to join our Hall & Kay Business as an experienced administrator with primary duties to provide support to our management teams, engineers, and customers to provide excellent service to support the day-to-day operation of the regional business.
Main Duties and Responsibilities include:
To answer and log incoming calls from internal and external Customers
Co-ordination of engineer resource labour in conjunction with the management team
To process all Engineers Timesheets and Worksheets and record them in a timely manner
Complete all Service and Maintenance specific administration to final invoice
To source and place orders for all materials and parts
To ensure the correct procedure is followed for the addition of new customers and vendors
To provide the correct information to the management team for all contracts (New or Renewed)
To record and control hire equipment and rentals
To ensure the Regions WIP is kept to a minimum
To provide the management team with all relevant information to effectively manage Maintenance Contracts
To monitor the performance of the Out of Hours service, identifying any ongoing works and issues that need to be reported to the management team
To provide up to date customer lists and rotas to the Out of Hours help desk
Support the regional engineers with any specific site admin requirements
Daily support of service operations
Quoting of remedial works
Maintaining effective communication with contracted customers
Essential:
Proficient and experience of All Microsoft Office Applications – Excel, Word, Outlook
Demonstrate Financial & Commercial Awareness
National Logistical Awareness
Good communication skills – written and verbal
Ability to work to targets and objectives
Ability to stay calm in a high paced environment
Self-motivated and enthusiastic

Organisation and time management
Ability to work under pressure and to tight deadlines
Demonstrate good team working ability
Logical and methodical.
Desirable
Sound understanding of planning maintenance requirements and our legal requirements/obligations. Experience in using CAFM or other management systems; including Maximo, Vixen & EVOMX.
