Multitrades Recruitment are currently seeking a dedicated Compliance Administrator to join our team. As the Compliance Administrator, you will play a key role in ensuring compliance and facilitating the smooth operation of procurement activities. Your responsibilities will involve generating quotes, managing purchase orders, coordinating labour attendance and equipment requirements, maintaining documentation, monitoring compliance, and assisting with general administrative duties.

Responsibilities:
- Generate accurate quotes within SAP and Plan-on, ensuring timely delivery and updating the Quotation System with job numbers and relevant information.
- Create purchase orders for quoted works, materials, tooling, and calibrations using the purchasing system Coupa, and allocate them to the appropriate engineer cost centers.
- Collaborate with the Contract Manager, Supervisors, and Scheduler to schedule and arrange Equans labor attendance and lab requirements for remedial works.
- Upload all necessary statutory documentation to the internal tracker and issue Stat Docs to designated customer Compliance Teams for upload to client portals and ELogbooks.
- Monitor the Compliance Tracker, investigate and follow up on missing or outstanding paperwork.
- Maintain the stock control system, raising purchase orders when necessary to maintain minimum stock levels or fulfill call-off requests.
- Conduct quality checks of invoices and credits within Coupa, ensuring accuracy and matching information. Resolve discrepancies with subcontractors or suppliers and request supporting information when necessary.
- Liaise with the Contract Manager and Supervisors to effectively handle subcontractor and supplier invoicing queries, escalating issues to the management team as needed.
- Coordinate and order workwear for Supervisors and Engineers through the Swift Industrial portal, logging items and distributing them once quality-checked.
- Perform general administrative duties in accordance with departmental policies and procedures, including cross-training in other administrative roles to provide absence cover.
- Undertake any ad hoc duties as requested by the management team.
Qualifications and Experience:
- Prior experience with CAFM systems such as Coupa, ELogs, and Planon is advantageous.
- Strong IT skills, including proficiency in a full range of Microsoft applications.
- Health and safety awareness.
- Ability to adapt to time-critical situations and respond accordingly.
